About the organization

Save Your Holy Land Association (SYHLA) is an indigenous civil society organization working for more than 20 years in different community development programs in the different parts of the country. Save Your Holy Land Association (SYHLA) is established by young University Students and Graduates in December 2011. Before it got recognition as an association from the federal ministry of Justice (MoJ), it has been operating at club level by organizing the Local young residents of Lalibela.

Currently SYHLA is implementing a range of projects on youth empowerment, gender quality, humanitarian response, rehabilitation and reconstruction, peace building & conflict resolution, Social Accountability, health service improvement. 

The organisation would like to recruit a strong Program Manager with experience of project design, implementation, and team leadership.

Job Description

Overview:

Under the direct supervision of the Executive Director, the Program Manager is responsible for overall coordination of the different project activities, the team members and working with partners to ensure timely delivery of project activities in accordance with the agreed work plan.

Project Design and Management 

  • Lead on development of project proposals for various call for proposals and existing donors to seek for financial support to bring tangible changes on lives of target groups 

  • Responsible for the execution of the project in a timely and cost-effective manner and ensure compliance with SYHLA’s internal procedures and the terms and conditions of the agreement with donors.

  • Ensure adherence to organisational policies, procedures, and guidelines 

  • Prepare budgets in accordance with the schedules, formats, annual dates, and deadlines as adopted in respective agreements

  • Guide MEL personnel (team), participate in the development of performance monitoring plan (PMP) and M&E tools to ensure systematic monitoring, documentation and sharing of outcomes.

  • Undertake monitoring of project implementation, budget and other aspects with regards to the implementation of the project as per the agreed work plan, budget and performance criteria for respective projects.

  • Ensure that the regular reports have been submitted on the progress of the implementation.

  • Ensure the projects quality standards are respected and there is effective system of tacking and documentation of best practices, knowledge and information management and sharing.

  • Participates in the identification of capacity gaps, establish capacity development plan as per the adopted approach, to contribute to the strengthening of the communities and partner nets working with SYHLA

  •  Review materials produced (internally or externally) for training workshops, seminars, conferences etc… to ensure organisational quality and standards.

Filed Offices and Staff Management

  • Coordinate and closely work with staff contributing part of their time to the project (LOE).

  • Provide management support and direct supervision to Officers, Coordinators etc.

  • Work closely with supervises to assure the provision of quality program delivery to the project. This includes (but is not limited to) the formulation of individual work plans (with agreed indicators of achievement) based on project work plans and/or job descriptions

  • Support supervises to assure functionality of coordination offices and effective support to implementing partners working as subgrantees of SYHLA.

  • Build the technical and managerial capacity of staff under direct line management and delegate tasks for the efficient performance of activities.

  • Participate in regional staff recruitment, induction planning and formulation of staff personal development plans.

Coordination

  • Responsible for the overall coordination of project activities, the team members and local partners to ensure effective execution.

  • Lead and support in the organization of training programs, experiences sharing and review meetings.

  • Participate in regularly scheduled meetings with project teams, participate in wider coordination meetings (as per the agreed organisational meeting schedule) and ensure dissemination of minutes to appropriate departments and or staff in the main office and field offices

  • Participate in coordinated monitoring visits as per agreed schedules

Networking, Reporting and Representation

  • Represent SYHLA in high level engagements and partnerships with donors, partners, and government stakeholders and counter parts.

  • Serve as key liaison and technical support point.

  • Establish effective working relationship with government, donors, partners, and other stakeholders

  • Establish communication systems with partners to ensure an enabling environment for partnership

  • Lead on periodical Reporting to donors, government agencies as per agreed schedule and statutory requirements and ensure timely preparation and submission of all deliverables.

Other Functions

  • Performs any other related duties that may be assigned by the immediate supervisor.

  • Serving as a cover to the Executive director of the organotin in leading and representing SYHLA

Reports to: Executive Director

Duty Station: Addis Ababa, with frequent travel to project offices and operation areas 

Supervises:  Program Office Coordinators, Project Officers, MEL Officers

Job Requirements

Required Educational Qualification:

  • MA Degree in Social Science and Development Management including but not limited to Sociology, Community Development & leadership, Project Management or related fields.

  • 5 years of experience as a Program Manager, Projects Manager, programs coordinator and project team Leader in NGOs/CSOs.

  • Experience on project design and proposal preparation

  • Excellent written and spoken skills in English and Amharic. Demonstrated analytical, and report writing, and fundraising skills

  • Understanding and experience on Monitoring, Evaluation, and Learning

  • Excellent computer skills especially in MS-Window, Internet, and Database management.

  • Good interpersonal relationships, communication, negotiation, and motivation skills.

  • Ability to perform under pressure and be creative in solving problems.

  • Proven human management experience

  • Experience in managing and administering projects

  • Ability to develop and maintain strong relationships with partners

  • Good interpersonal communication skill and ability to effectively liaise with staff, government and other stakeholders

Contacts/Key Relationships

The incumbent is expected to establish and maintain open and cordial relationship with other stakeholders at all levels in order to obtain the required support and collaboration for the smooth coordination and implementation SYHLA’s projects.  S/he is also required to work in collaboration with other departments and units of the organisation including Finance, MEL, etc.
