The Logistics & Admin officer will be responsible for:
Procurement of goods, services and works, fleet management, warehouse and asset management, human resource and administrative activities for the entire projects in the ERCO under the direct supervision of the regional coordinator and technical support from Country ProLog Coordinator.
Ensuring that LWF’s personnel policies and procedures are implemented consistently throughout each projects in order for LWF to achieve its objectives;
Maintaining and regularly update human resource related information.
Facilitate and coordinating recruitment and selection processes to ensure transparency, fairness and equal employment opportunity for all.
The dimension of this position encompasses, procurement, inventory management, asset management, fleet management, transportation and distribution management, periodic reporting, recruitment support, leave management, office utility payment, office lease management, team management, etc.
Procurement:
Handling local procurement of goods, services, and works and collaborate with the country office procurement team for higher value procurements.
Warehouse & inventory management:
Manage the warehouse activities in collaboration with the storekeeper.
Asset management:
Manage the fixed assets with proper record keeping and updating the asset register in collaboration with the storekeeper.
Fleet management:
Manage LWF owned and rental vehicles with effective and efficient utilization of the resources and timely maintenance and service as well as monitoring of the vehicles movement and safety and security.
Administration:
Monitor the office lease agreement and timely renewal, follow up of the office utilities payment, telephone and internet payments, follow up office cleaning and refreshment services, etc.
HR:
Maintain and update all official personnel files and records for the programme on a regular basis.
Prepare monthly staff list report of all field offices and reports for Head office and other relevant departments.
Manage leave , sick leave liaise with Head Office HR;
Provide timely update to relevant departments particularly finance of any staff changes such as employment, promotion, resignation, transfer etc.
Communicate with HOHR on renewal of staff employment contracts accordingly and follow up staff contracts that are on probation and temporary basis.
Provide support and advice to line managers and employees regarding HR issues.
Facilitate all recruitment, transfer, promotion, resignation and related processes and document all accordingly.
Ensure all job vacancy notices are posted on the relevant notice boards within LWF Offices, provide vacancy notice postings on time, and liaise with them.
Update all recruitment information and file following completion i.e. short listed and non-short listed CVs, exam results, interview results etc.
Participating in locally recruitment short listing, testing and interview as per the request of line manager.
Communicate/inform applicants who are not successful on their interview and/or written exam on time.
Organizing induction programmes for new staff joining LWF in consultation with LWF departments.
Follow up and make sure that staff under your supervision have accomplished their obligation and execute their daily routine duties well including security of the office.
Ensure that the offices & the compound are clean, the toilets are properly working and clean and conducive for working
Minimum of BA Degree in Business Administration, Management, Logistics & Supply Chain Management, or related.
