TEAM PURPOSE:

 The Logistics Team is accountable for ensuring that all operation procedures of Administration and Logistics are adhered to and implemented in a manner that is compliant with Oxfam policies, standards, and procedures.

In particular, the team provides professional, business focussed service on logistics, delivering proactive and solutions-based approaches for resolving issues. The team will also ensure that the operational business requirements are effectively managed to deliver organisational results and support the achievement of programme outcomes.

Job Purpose

Logistics Assistant is to work as part of the logistics team, managing all responsibilities related to supply, warehouses, and fleet as well as dispatching of goods.  Logistics Assistant is responsible for ensuring quality in supply chain management support across the Ethiopia programme.  Where appropriate, the logistics Assistant will provide support to field teams through assessment and accompaniment.

KEY RESPONSIBILITIES

Warehouse and Stock Management

  • Provides support to the warehouse person in all aspects of warehouse operations.

  • Supervise or partake in loading/unloading trucks when shipments are received or going out.

  • Processing/filing of disposal of items.

  • Interact with third-party logistics service providers and suppliers to support the team

  • Take part in the disposal of unserviceable or damaged items

  • Assist supply chain with support of Helios system

Supply management

  • Process the payments for procurement cases with the Finance team as requested.

  • Review bills, invoices, and purchase orders before submitting for payment/signatory.

  • Assist the procurement Officer in carrying out Procurement in accordance with OXFAM and donor-specific policies.

  • Support the procurement officer on the timely dispatch of tender documents and organizing the tender committee meeting when the procurement officer is unavailable or as mandated by the management

  • Routine communication, coordination, and planning with the relevant requesting staff/programs regarding the order and delivery of supplies.

  • Maintain appropriate records to ensure that the procurement process, decision, and contractual agreement are accurately documented for accountability and audit purpose.

  • Support in the Establishment and maintenance of ethical, professional working relationships with suppliers and others.

Fleet management

  • To ensure proper tracking of all vehicles and share an updated tracker with the logistics manager and fleet officer on a weekly basis.

  • Assist fleet officer with TrackPoint update and producing reports

  • Update information in TrackPoint and check the GPS in the vehicles are active in TrackPoint.

  • Assist in ensuring that all vehicles carry the required onboard documentation and that all documents are kept current (including insurance).

  • Assist in Inspect and recording the condition of vehicles, by maintaining weekly checklists file and ensuring that Vehicles logbooks are accurately filled

  • Assist in Preparing weekly and monthly reports for the fleet in consultation with the fleet officer.

  • Assist fleet officer to ensure that vehicles are prepared for routine and emergency security requirements.

Administration  and other

  • Involves compiling reports, assisting with creating presentations with co-workers, and organizing and maintaining records

  • Ensuring documents are properly scanned and accounted for in an organized manner.

  • Support in coordination with Finance, Admin, and program departments to ensure integrated internal controls, timely payment of vendors and full, auditable support documentation.

  • assisting field offices as needed

  • Perform such other duties as assigned by the line manager/log officers
