Job Title: Communication Assistant (Maternity Cover)

BACKGROUND:

The Ethiopian Agricultural Transformation Institute (ATI) is a strategy and delivery-oriented government Institute created to help accelerate the growth and transformation of the country’s agriculture sector. The ATI envisions to be the leading center of innovative solutions for the transformation of Ethiopian Agriculture by 2030.

The Institute focuses on two primary national approaches to catalyze agricultural transformation. First, we support the Ministry of Agriculture (MoA), its affiliate institutions, and other partners to identify and address systemic bottlenecks within an Agricultural Transformation Agenda. Second, we support Regional Governments to accelerate the development of high-priority commodity value chains in clearly defined geographic clusters, through the Agricultural Commercialization Clusters (ACC) Initiative.

Our major activities include conducting strategic and analytical studies, providing technical implementation support, coordinating platforms to better integrate partners and projects, and designing and directly leading a number of implementation projects. Our headquarters are in Addis Ababa, and we have regional offices in Amhara, Oromia, SNNP, Sidama, South-West, and Tigray regional offices, allowing us to work closely with a wide range of public, private and development sector partners across the country.

POSITION SUMMARY:

The Communications Assistant will play a central role within the Communications team responsible for day-to-day communication activities and maintenance of communications records and archives. This position will work closely across all teams to support the planning, execution, and logistics of all communications tasks and activities. S/he will also facilitate the communications team’s interactions internally as well as externally and build a schedule for the team’s activities while proactively assisting in all communication tasks.

The Communications Assistant will report to the Communications Director. The ideal candidate will possess a high degree of organizational skills and a proactive attitude. S/he would likewise have an understanding of communications related activities, and demonstrate strong verbal and written communication skills, experience in providing team support, and knowledge of the Microsoft Outlook package.

ESSENTIAL DUTIES

  • Provide a wide variety of administrative support including complex calendar management, event planning, and other logistics such as assisting in procurement processes and acquiring office equipment and supplies for the team

  • Assist in scheduling and planning for events, such as meetings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, preparing and disseminating materials, and documentation

  • Compile and process expense reports, reimbursements, and check requests, accurately and timely.

  • Liaise with service providers such as consultants, external translators, printing companies, and photographers

  • Develop a contact database for partners, donors and media, and ensure it is kept up to date

  • Take minutes at Communications team meetings and archive all meeting notes

  • Support Communications Officers and Senior Graphic Designer & Web Specialist to maintain the ATI website and ATI Hub

  • Track project timelines and develop plan to meet deadlines

  • Manage the ATI and Communications team email accounts

  • Respond to other matters and perform other related tasks as assigned

Job Requirements

REQUIRED QUALIFICATIONS, COMPETENCIES, SKILLS, AND EXPERIENCE:

  • BA Degree in Communications, Journalism, or related fields.

  • A minimum of two (2) years of proven experience in corporate communication in a dynamic organization (international organization preferred).

  • Experience setting priorities and meeting deadlines while balancing the needs of providing support individuals, including calendar management, travel arrangements, and event planning coordination.

  • Excellent oral and written communication skills in an environment requiring diplomacy and good judgment in managing interactions with individuals at all levels inside and outside an organization.

  • Demonstrated effectiveness meeting deadlines in a role requiring continual attention to detail in composing, typing, and proofing materials.

  • Experience establishing organizational systems to improve efficiency and functioning in a changing environment.

  • Demonstrated proficiency with Outlook, Microsoft Office, and PowerPoint.

  • Demonstrated positive, collaborative approach to work, including a commitment to client-service and problem solving.

  • Strong organizational skills.

  • Proficiency in English and Amharic.
