ROLE PURPOSE

The purpose of this position is to facilitate the timely and proper medical services to be provided to children with referral medical cases to Addis Ababa and serve as Plan’s point person between the medical institution, children, and families. In addition, the position will assist the roving PAs in data entry when the need is required. Furthermore, s/he will be responsible for liaising with DHL, FedEx, and service-delivering firms and organizing the dispatch of all incoming and outgoing communication items and delivering inter-office messages.

ACCOUNTABILITY

  • Facilitate Sponsored Children’s Medical services as per the approved requests and procedures.

  • Provide Sponsored Children and their families with relevant information related to accommodation and logistics.

  • Facilitate that the Sponsored Children and their families receive timely and proper medical services.

  • Facilitate the dispatch of all incoming and outgoing communication items to and from NOs

  • Deliver documents, letters and messages from office to office within the CO compound.

  • Keep the filling systems in which documents could be readily available, and easily traced and ensure that all documents fulfill the appropriate source document.

  • Pay payments for cash commitments that are requested by the budget holders based on financial documents that are reviewed and approved before payments are effected.

  • Support other staff from PAs on finance-related issues

  • Support PAs in SCU/Is and communications data entry upon request.

  • Facilitate the timely release of shipments linking with FedEx, DHL, EMS, and Customs; and ensure the payments are effected upon received invoices.

  • Keep Addis Ababa PA’s Sponsored Children files are safe and complete

  • Screen all communication items and check the quality of all communications as per the standards by sampling from each PA and each batch.

  • Perform similar duties as requested by the supervisor.

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)

  • Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.

  • Ensures that all staff signed safeguarding policies;

  • Implement Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.

Job Requirements

QUALIFICATIONS AND EXPERIENCE REQUIREMENTS

Educational Qualification and Experience

  • BA Degree in the English language, Social Work, Sociology, Development Studies, Communication, Computer science or equivalent.

  • A minimum of 3 years relevant work experience out of which 1 year at supervisory level.

  • Experience in capacity building for local stakeholders/partners.

  • Proficient in computer skills and communication skills Knowledge

  • Fluency in English language is essential

  • Knowledge of general office administrative work.

  • Basic financial transaction skills.

  • Motorbike driving license and driving skill

  • Basic computer utilization skills and  familiarity in functioning with different software

  • Analytical and problem-solving skills
