Job Description
Main purpose of the job:
The Facility and General Services Manager shall be under the general direction of the Factory Manager. Under limited supervision, the position holder provides leadership, overall administration and technical support for the factory security operation, compound and office cleaning, waste management, canteen services, employee transportation service management, maintain the basic condition of factory facilities and manage facility and service-related external engagements and management of laundry services.
Accountabilities:
General
Create and maintain a safe environment for employees, contractors and visitors according to the applicable statutory, company and local regulations, policies and procedures
Ensure Good Manufacturing Practices (GMP) is always practiced in all areas
Implement food safety requirements and procedures at all times
Take immediate appropriate action and report food safety management system related problems to the right person/s
Build continuous improvement culture; TPM, 5S and RCFA implementation
Improve performance tracking and data registration in alignment with company PMP
Manages per dime and OT of subordinates
Leads, manages, evaluates, coaches, and gives feedback to team members
Identifies and drives key performance data collection and reports in order to maximize and improve operational and business performance activities
Plans and deploys resources (people, materials, process and equipment) to meet the needs of others safely whilst excelling at quality of service and balancing costs
Develops processes and procedures to manage activities and shares accountabilities with the team
Perform other duties as assigned by the supervisor
Security
Ensures the security of the factory is always at its peak and oversees security investigations
Integrates safety and security policies with business operations
Evaluates safety and security plans for effectiveness, conducts risk audits and assessments and take steps to mitigate risks and simplify operations
Builds and manages emergency response procedures and teams
Incident reports and risk factor analysis
Conducts risk audits and assessments
Facility
Develops WoW in managing the facility and defines processes and procedures in running it effectively (security procedures like access control, canteen replenishment procedure, cleaning procedures and frequency, etc)
Ensures the security of the facility and WH is always at its peak and oversees security investigations
Manages and reviews invoices for canteen, transportation, waste disposal, external facility related services provided, and other facility related expenses
Follows appropriate storage, handling, and food safety requirements for canteen resources
Revises transportation routes and ensures employees’ commute to work on time and in a safe manner
Works with fleet management and technical services department to ensure the effective maintenance and servicing of factory vehicles
Inspect facilities, installations, and repairs to ensure compliance to basic conditions and to maintain quality standards
Develop and manage canteen budget. Ensures employees get canteen service that is consistent, healthy and as per agreed budget on a timely manner
Ensures the hygiene level of the compound and offices is maintained and employees get proper lavatory services and appropriate changing facilities
Work closely with project team to improve, maintain, renovate the office space and whole compound
Control and Financial responsibilities
Enforces the follow-up and implementation of financial and process controls
Controls and manages budget, expenses and timely settles petty cash
Sets up, with other stakeholders, financial, like petty cash management, process controls
Timely reporting & following company approval channels
Waste Management
Develops and implements corporate waste disposal strategies
Ensures compliance with all provisions of the local and company’s requirements relating to waste management and disposal. Organizes and manages waste collection and disposal as per PEP+ requirements, and creates a working relationship with recycling facilities
Manages, with other stakeholders, environmental monitoring projects to ensure compliance with permits and applicable regulations
Manages and reviews invoices for transportation, waste disposal, services provided, and other facility related expenses
Reporting
Overtime reporting
Inventory reporting daily from AA WH
Daily loading & offloading performance for the warehouse.
GMP standard and Gemba walkabout reports
Work Location: Factory Site- Bulga City, Tulofa

Experience & skills required
Education: BA Degree and above in Human Resources Management, Business Management, Leadership or other related fields
Experience: 6 years experience in a manufacturing industry preferably in FMCG, out of which 4 years as a facility and general services manager or related job post
Language: Able to speak, read and write in English
Computer: Good level in use of Microsoft office tools, use of other computer applications and ERP tools
