JOB SUMMARY

The Roving Warehouse Coordinator is responsible to support the Logistics Coordinator with conducting timely and compliant warehouse operations, including: receiving, handling, recording, warehousing, issuing, updating stock balance, tagging new fixed asset, registering, tracking, disposing and conducting the regular inventory and fixed asset count twice a year and prepare report for concerned stakeholders regularly.

KEY RESPONSIBILITIES

  • Work with WFP to roll out the commodity tracking system (LESS) management and structures and staffing levels to ensure that they are at all times adequate to meet the requirements of the effective implementation and usage of LESS.

  • Periodically check and produce Best Before Dates and Losses report to ensure all records are correctly and timely captured in the corporate commodity tracking system (LESS).

  • Consolidate monthly commodity movements, reporting and documentation.

  • Coordinate with WFP logistics unit at all levels to support the operations and ensure that warehouse operations, receipts and reconciliations are timely, and well-coordinated. 

  • Identify requirements, develop ad-hoc reports and provide food commodity data to support decision-making processes and Food Supply Chain management.

  • Ability to proactively identify gaps in information and findings, analyze and evaluate information, develop statistics, and translate into information management products to facilitate decision-making and demonstrate performance.

  • Plans, coordinates, and manages warehouse operations to promote safe, efficient, and sustainable operating procedures.

  • Participate in the review of internal processes and procedures and identify ways to increase the day-to-day efficiencies.

  •  Conduct site visits to several WFP warehouses managed by Samaritan's Purse review current food commodity management practices, including adherence to SP and WFP policies and procedures.

  • Ensure compliance with SP commodity policies and donor commodity regulation and reporting requirements

  • Ensure all reporting deadlines are met, data updates from different operational areas are received and consolidated on a timely manner

  • Ensure that distribution plans are prepared, delivery of commodities to distribution sites are tracked, documented and compare against actual distribution on a monthly basis

  • Develop and implement a staff capacity building initiative in areas of commodity management, documenting and reporting in order to meet established standards through on the job training or workshops.

  • Develop and implement a practical system for distribution accountability at the facility level in line to local context.

  • Assume other relevant responsibilities as instructed by supervisor

Job Requirements

EDUCATION / EXPERIENCE

       ·         BA in Supply Chain Management, Business Management, Marketing, or related field

       ·         At least 3 years of professional experience in logistics and/or warehousing or commodity management.

       ·         At least one-year practical experience in warehouse, record keeping and inventory control in INGO is an advantage

LANGUAGE

·       Amharic and English (spoken and written required)

·       Tigrigna languages strongly desired

·       Competency and Preferred Skills

·       Proven track record within warehousing and stock management and Good knowledge of the warehousing, purchasing and regulations of international organization and donors.

·       Detail oriented in goods handling and proven ability to use different recording and tracking tools.

·       Good organizational, inter-personal, innovative and problem-solving skills.

·       Proficiency with MS Word and Excel and other use of database and tracking tools (minimum requirement).

·       Evidence of the practice of a high level of trustworthiness and confidentiality

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.
