PURPOSE OF THE JOB
The Farm Business Partner & Human Resource Manager is responsible of all the HR activities on the FARM and ensure the HR running business is aligned with the HR Company policy and rules. He has also an important role of coordinator with the HR Head Office to communicate on time all the necessary information or issues and to request support when it is necessary.
He has a high responsibility since the farm represents at middle-long term around 500 employees. This person must be reactive, transparent, and factual to leave no doubt concerning the position of an employee, his rights, duties and benefits. He must manage employee files with an extreme rigor to ensure the data are up to date and immediately available.
The Farm BP & HR Manager has also a role of the ideal employee in charge to vehiculate the values of the company
MAIN RESPONSIBILITIES
Strategy and implementation
Support the other managers on the weekly farm activities to define precisely the manpower needs for each activity and the daily distribution of the workers according to their experience and proficiencies, especially during the permanentizing phase transition
Policy, Processes, Methodology and Systems Implement all Company HR policies and rules
Ensure all existing company procedures are properly communicated with the officialized templates or tools Analyze eventual application gaps and ensure that proper procedure is formalized in order to anticipate and tackle the possible related issues in the future
Ensure the harmonization of the position grading on farm and consolidate with HR Head office
Ensure the application and respect of the code of conduct and the farm rules and regulations especially rules regarding child labor
Running business
Talent Acquisition
Source according to the identified needs of workforce, the labor in the Korkoro, Harar communities,
surrounding communities and additional labor in town at Bole Ensure the proper communication of the daily workers provisional schedule (the attendance days)
Organize the daily workers distribution according to the different daily farm activities and ensure dedicated
buses are scheduled
Anticipate needs, select, recruit and formalize the new positions if requested (in consultation with the Farm
Managers)
Formalize a staffing plan to implement accordingly a detail schedule and manage various updates with HR Head Office department (organogram, budget, cost...) Anticipate and communicate as soon as possible the temporary vacant positions with a proposal or a system
for filling vacancy Ensure the proper induction of the newcomers and the proper delivery accommodations
Register and monitor the request of annual leave
Support the Farm Managers in writing proper Job Description for the subordinate positions in their respective team
Support the Farm Managers on the Performance Evaluation of their teams
HR Admin
Ensure that all the farm positions have a Job Description associated and that yearly review is done by managers
Organize and update the traceability on each employee in the archives in order to identify the gaps and record the taken actions
Control the attendance and check the absence, lateness or workplace leaving by validating the reported justifications-evidences
Rules communications
Ensure that all the employees have the knowledge and the ability to consult the Collective Bargaining
Agreement - CBA
Make proper announcement ensuring the rights and duties of the employees, ensuring transparency at the management level and their decisions, regarding the company policy, for any HR matter, change or update
People Development
Propose and implement a concise training program for the employee which needs are formalized, justifying the needs/reasons with a detail schedule and a budget associated
Support managers in the performance management system application and ensure the follow-up and application quality.
Disciplinary/grievance
Support managers in all disciplinary or grievance procedures including (Lead the investigation,
formalization, draft letters and application, follow-up) Ensure the upward circulation of the raised grievance under the proper procedure
Ensure personnel are adequately trained in how to report and manage grievances
Legal HR Affairs
Manage, follow-up and report the Farm legal affairs by a close consultation with the Farm Managers and the HR department at the Head Office
Support and ensure that the farm management team operate their team member performance evaluation
and follow-up reports for the HR archives Manage resources and related departmental budgets as agreed in annual budgets
Provide all HR reports: employee inventory, daily attendance, annual leaves, worker distribution, sick leaves, Weekly & monthly attendance-annual leaves report, Half-year personal evaluation individual reports... Follow the defined KPI's and ensure the appropriate actions accordingly
Quality, health, security and safety
Ensure that the farm standards are aligned with the IFC standard in terms of labor and working conditions Align farm working approach with the ISO standards targeted by the company
Project management
Manage all HR projects within the farm (example "daily workers permanentizing")
Other
Control the proper usage of the company properties and responsible to take immediate disciplinary action or sanction in case of misuse

Job Requirements
EDUCATIONAL BACKGROUND, EXPERIENCE
Education
Minimum of a bachelor's degree in Business or its equivalent and or/Master's degree in HR or business administration or related fields
Experience
Minimum 8 of years HR and community related experience in a managerial role, or with significant HR
responsibilities with success experience in training & development management Experience in managing and leading teams in a private company
Experience in working within dynamic management teams at operational and strategic levels
BA Degree or Diploma in Human Resource Management, Business administration, Business Management or in a related field of study with relevant work experience
