Job Description

Médecins du Monde is operating in Ethiopia since 1986 in different types of health projects from long-term interventions to emergency response. MEDECINS DU MONDE FRANCE (MDM) invites qualified candidates, to apply for the following Position:

Duty station:   The Supply Assistant will be based in Addis Ababa, Ethiopia

Employment Term:  5 months with possibility of extension, starting date August 1, 2023

Basic Salary: 23,040.00 ETB

Transportation allowance   1,300.00/ ETB

Lunch allowance - 2,860.00/ ETB

Medical Coverage -   Up to 94,000.00 ETB / Year for employee and employee Family / husband and Children’s 

13 month salary / One month bonus salary / year

Reported to: The Supply Assistant will be under the direct supervision of Logistics Manager, also based in Addis Ababa.

Job Summary

This position involves assisting in various aspects of the log supply chain, including procurement, inventory management, logistics coordination, and data analysis. Assist the Procurement Unit in the distribution of quotation and Collection of Bids, collection of samples of materials from suppliers, distribution of purchase orders and contracts, collection of purchased materials and delivery to store and make sure the organization receive exactly what was ordered from suppliers.

The Supply Assistant collaborates closely with the log team to ensure smooth operations and timely delivery of goods and services to fulfil organization procurement objectives.

The main duties and responsibilities of the Supply Assistant are:

  • Assist in sourcing and evaluating suppliers of logs based on quality, quantity, and pricing.

  • Collaborate with suppliers to negotiate contracts, place orders, and ensure timely delivery.

  • Monitor procurement activities, maintain accurate records, and generate reports as required.

  • Support the monitoring and maintenance of log inventory levels.

  • Coordinate with internal stakeholders to ensure accurate tracking of incoming and outgoing logs.

  • Conduct periodic inventory audits and reconcile discrepancies as necessary.

  • Assist in coordinating transportation logistics for log shipments.

  • Liaise with carriers, freight forwarders, and other logistics partners to schedule deliveries and track shipments.

  • Resolve any transportation-related issues or delays in a timely manner.

  • Collect, analyze, and interpret data related to log supply, including procurement costs, inventory levels, and delivery performance.

  • Prepare reports and presentations summarizing key findings and recommendations for process improvement.

  • Assist the procurement team in preparing MR, maintaining procurement documents and filling and other activities in relation with procurement.

  • Identify trends and patterns to optimize log supply operations and minimize costs.

  • Ensure proper documentation and compliance with applicable regulations and policies.

  • Maintain accurate record of procurement activities, contracts, and transportation documents.

  • Assist in conducting audits to ensure adherence to internal and external requirements.

  • Support  upon  the timely submission of periodical reports to the Mission office.

  • Conduct site/field visits as required.

  • Any other task assigned by Supervisor.

Job Requirements

Educational Qualification

  • High school diploma or equivalent; relevant certification or Degree in Supply Chain Management or a related field is a plus.

Work Experience

  • At least 2years’ work experience with similar position in INGO

  • Experience in working with international humanitarian organizations is a plus.

Skill

  • Proven experience in a similar role or understanding of logistics - supply chain operations.

  • Familiarity with procurement processes, inventory management, and logistics coordination.

  • Proficient in using computer software and tools, including spreadsheets, database etc.

  • Strong analytical and problem-solving skills, with the ability to interpret and present data effectively.

  • Excellent organizational and time management abilities, with a keen attention to detail.

  • Effective communication and interpersonal skills to collaborate with internal and external stakeholders.

  • Ability to work in a fast-paced environment and adapt to changing priorities.

  • Strong organizational  and team work skills  in emergency situations and autonomous in daily operations

  • Good communication and interpersonal skills, including negotiation and conflict resolution skills

  • Ability to work under pressure and with limited supervision.
