Job Description

The Program Coordinator will work under the direct supervision of the program operation manager at Addis Ababa. S/he will play a coordination and representation role for the WE-Action’s development program in the respective regions. S/he will work together with field office coordinators, project coordinators, program quality coordinator and represent the WE-Action on regular coordination meetings to be held in regional levels, IPs, government offices and other relevant stakeholders to ensure WE-Action’s extensive interventions in the target areas are going smooth.

Managerial responsibilities:

  • Represent WE-Action in the program area and build healthy relations with stakeholders and project participants/targeted groups.

  • Support the field office team’s adherence to internal polices and program management standards.

  • Build capacity of field staffs so as to effectively implement development projects/program activities.

  • Lead and mobilize efficiently the human, financial and material resources of WE-Action to achieve maximum results of projects/programs in the area under its vision and mission.

  • Make close follow up of emergency program & financial status including developing program financial plans, monitoring the project budget and ensuring sound projects financial controls are in place.

  • Represent WE- Action’s interests and program with external stakeholders, in concrete with the respective relevant teams.

  • Collaborate with the Board and management  to develop, refine, implement and monitor WE-Actions’ strategic plan while ensuring that the budget, staff, and priorities are aligned with WE-Actions’ core mission

  • Conduct origination, business development and new opportunity mapping including expansion into new areas.

  • In Collaboration with ODM drive organizational structuring as required to follow new priorities, imperatives and strategic direction of WE-Action

Program Designing:

  • Develop program funding proposal to guarantee uninterrupted delivery of services in respective program area. At least on proposal is expected in each quarter. In addition timely develop donor request proposals.

  • Design and develop new program components based on the problems that the program intended to address.

  • Develop quarter and annual project plan with quality and submit for respective funding partners and other stakeholders.

Monitoring, Evaluation, Learning and Reporting:

  • Conduct ongoing  program monitoring of the status of program and complete regular check –ins on grant requirements and project strategies

  • In Coordination with PQM facilitate learning across departments and programs including codifying lessons learned and knowledge of resources/tools/best practices, etc

  • Develop quality quarter and annual project reports of respective area and timely submit for funding partners and other stockholders as appropriate.

Compliance and Performance

  • Read, understand and strictly respect donors and government compliances and support field office to respect the required compliance.

  • Strictly follow and adhere to organizational policy and standardization manuals.

  • Regularly plan, implement and evaluate personal, subordinates and section development plan.

Gender and Social Inclusion and Accountability

  • Participate and contribute for organization gender and accountability work.

  • Plan, implement and report gender equality, social inclusions and accountability activities in respective projects/programs.

  • Work in collaboration with the Gender and Social Inclusion coordinator in designing and implementation of gender capacity building for field staffs.

Accountability and transparency

  • Ensure that communications and products of WE-Action are visible in project area

  • Adhere to the organization accountability framework; communicate for employees for effective implementations.

  • Implement WE- Action compliances to Core Humanitarian Standards (CHS) and develop communities’ capacity accordingly.

  • Participate in external verification process of WE- Action Core Humanitarian Standards.

  • Conduct routine risk assessments, monitor and report any issues related to Safeguarding.

  • Create awareness to community, target groups and peers on safeguarding during weekly, monthly, and quarterly dialogue sessions.

  • Create awareness to community, target groups and peers on WE-Actions compliant Handling Mechanisms during weekly, monthly, and quarterly dialogue sessions.

  • Participate in organizational conversations to discuss on cross cutting issues such as gender, HIV, safeguarding, social inclusion etc…

Reports to: Program Operation Manager

Employment Type:  Full time for one year with the possibility of extension based on the performance and budget source

Job Requirements

Qualifications: 

  • MA/MSc/BA/BSc in Development Management, Regional and Local Development, Development Studies etc and other relevant Social Sciences fields.  

  • 3 years work experience for MA/MSc and 6 years work experience for BA/BSc  holders

  • At least 2 year experiences in a program/project management related position in NGOs.
