Job Description
Secretaries perform a variety of administrative tasks to help keep an organisation run smoothly. They answer telephone calls, draft and send e-mails, maintain diaries, arrange appointments, take messages, file documents, organise and service meetings, and manage databases
Greet visitors and direct them to the appropriate departments or individuals
Respond to calls, emails, and routine letters; direct inquiries to the appropriate person/s;
Resolve customer complaints, guide them and provide relevant information;
Communicate and handle incoming and outgoing letters/correspondences;
Screen incoming emails and distribute them to relevant team members for action;
Handle petty cash, and different work advances and settle in a timely manner;
Track petty cash and work advance transactions and report any discrepancies on time;
Arrange, coordinate, and schedule meetings; arrange required documents;
File documents according to execution numbers and filing protocols;
Write and distribute routine correspondence including letters & memos;
Track inventory of office supplies and procure when necessary;
Issue VAT receipts, CRV and prepare the check and bank payments;
Make travel arrangements for office personnel as requested;
Count money in cash drawers at the beginning and end of each week and record any discrepancy;
Perform administrative tasks, including filing and photocopying
Review and summarize reports and documents as required;
Implement and/or develop office procedures and record systems;
Other administrative tasks as initiate by your immediate supervisor
Academic qualification
Degree in Business Management, Accounting, Information Management system or Secretarial Science and office management
Additional qualifications
Excellent written and verbal communication
Ability to prioritize and organize tasks
Proficient with Microsoft Office and cash register (POS)
Good analytical skills
Good customer management and positive attitude
Good time management skill and detail-oriented
Years of experience: Minimum of 3 years’ experience in a similar field
Salary: As per the company scale
