Program Description:
The USAID-funded Ethiopia Civic Engagement Activity (ECE is a four-year activity with the overall goal to strengthen Ethiopia’s civic fabric in support of more inclusive, peaceful, and responsive governance. The project aims to strengthen civic and community-based actors’ ability to engage in policy analysis, advocacy, dialogue, and collective action for peaceful, democratic change; and foster multi-stakeholder civic partnerships in support of inclusive dialogue, respect for human rights, and advancing more effective, citizen-responsive, and accountable governance.
Position Summary:
The Junior Program Coordinator will support ECE implementation in general and particularly the program team. The Junior Program Coordinator will also assist as translator for the Chief of Party, as needed. The Junior Program Coordinator will be based in Addis Ababa and will support the implementation of activities across all project implementation locations.
Reporting: This position reports to the Program Director.
Support planning, implementation and reporting of the activity
Assist the Program Officer to coordinate and compile the regional hubs plans and reports
Assist the program team to schedule program work plan, manage daily operations, coordinate program activities and set program team priorities.
Coordinate with organizing workshops ensuring venues are appropriate for PWD and organize activity related documentations such as attendance sheet, and minutes/proceedings.
Support in arranging and sending out invitations (letters & calls) to participants and when necessary, inform necessary adjustments needed related vulnerable groups to program director
Support the capacity strengthening manager to organize and coordinate capacity strengthening activities for partners and staff
Support and coordinate the outreach and engagement activities of ECE
Maintain appointment calendars and make logistical arrangements for meetings of ECE staff.
Translate from Amharic/local languages to English for the Chief of Party in meetings, as needed.
In partnership with communication /outreach team, support the organizing of events, inaugurations, and webinars based on the needs of the project in collaboration with project staff, USAID, local governments, and other stakeholders.
In collaboration with communication /outreach team, coordinate communications aspects of in-person events and webinars, including promotion, program content for programs, registration materials, and related items within the project.
Manage all incoming and outgoing postal and fax correspondences of program team.
In coordination with the receptionist and operations team and security manager, ensure that travel arrangements (vehicle, air tickets, and visas) and specific visit itinerary for country office staff, home office visitors, and consultants are arranged.
In coordination with the receptionist, maintain an effective record and filing system (both softcopy and hardcopy, as required) for project activities, correspondences, and documents for quick and easy reference.
Organize meetings with partners and stakeholders and make appointments with partners and stakeholders.
Support the Program Director in coordinating the development of the project strategic framework and work plans for the program implementation.
Support the communication and outreach manager and program staff in the development of program reports including, but not limited to, proofreading and editing.
Provide support to the Grants and MEL team as needed.
Coordinate and support the Chief of Party and Program Director with the management of their calendars, as needed,
Coordinate and support staff meetings and taking minutes
Maintaining program calendars and sending out reminders of impending appointments
Acting as a liaison between different teams (operation and program)
Attending conferences and meetings with Chief of Party and act as official translator.
Other duties as assigned by the management team.
High School completion certificate with a minimum of 3 years’ experience or TVET or Bachelor’s degree in a relevant field with a minimum of 2 years’ experience (with at least one year in a similar position or with similar duties).
Willingness and ability to travel in Ethiopia.
Experience with donor funded projects required, experience with USAID projects desired.
Knowledge/experience of working with various marginalized groups/vulnerable communities is an advantage.
Experience with verbal interpretation Amharic/English is highly desired.
Good problem solving, stress management and time management skills.
Advanced knowledge of Microsoft Office Word and PowerPoint. Working knowledge of other Microsoft suite applications.
Demonstrates excellent interpersonal skills.
Exhibits ability to multitask on a regular basis.
Pays close attention to detail.
Excellent recordkeeping and documentation skills.
Proficiency in written and spoken Amharic required. Proficiency in one or more local languages is desired.
Proficiency in written and spoken English required.
Ability to work under pressure and effectively manage multiple tasks.
Ability to work independently and as a team.
Exhibits strong organizational skills.
Communicates clearly, politely, and effectively.
Demonstrates excellent time-management skills.
