INTRODUCTION
The Danish Refugee Council (DRC), an international non-governmental organization (NGO), has been providing relief and development services in the Horn of Africa since 1997. DRC promotes and supports solutions to the problems faced by refugees, internally displaced people (IDPs), and migrants. The organization has offices across the region and has been operational in Ethiopia since 2009. With funding from bilateral and multilateral donors, DRC is currently implementing a range of activities across Ethiopia and Djibouti, including WASH and shelter provision, child and youth protection, gender-based violence response, awareness-raising of migration risks, protection monitoring of migration routes, and livelihoods support for returning migrants or those at-risk of migration.
OVERALL PURPOSE OF THE ROLE:
The aim is to support the Safety Unit in ensuring the safety and security of DRC staff and assets through the implementation and compliance oversight of relevant policies and procedures. The receptionist and Guards Supervisor play a key role in the implementation of the DRC Access control procedure. The receptionist and Guards Supervisor will work under the supervision of the Safety and Access Manager (SAM) with day-to-day coordination with DRC guards.
Responsibilities:
Under the supervision of the SAM, the receptionist is responsible for compliance with DRC access control procedures and guidelines, in addition to supervising guards and their daily tasks. The role provides support to the safety and access manager to ensure the safety of staff and property in Addis Ababa Country Office (CO):
Ensure Safety for DRC staff and property.
Greet visitors in a positive and helpful way, and ensure visitor books are signed
Assisting visitors in finding their way around the office in coordination with guards.
Enforce DRC’s non-weapon policy
Report any security incident to SAM
Follow DRC security and SOPs guidelines
The readiness of Safety kits and DRC vehicles on a monthly basis in CO and report to SAM.
Ensure tracking form for the expiry date of Safety kits is in place and plan accordingly.
Implement safety systems and procedures in line with DRC policies, SOP, and handbooks.
Monitor and track staff movement to and from CO in coordination with guards.
The receptionist is responsible for the cleanliness of the working areas.
Receptionists are required to know where all the fire extinguishers and first aid kits are located and how to use them.
It is mandatory for all non-DRC staff entering a DRC Main Office to have their Identification checked.
Write regular and ad-hoc reports on security incidents, office access challenges, and other contextual concerns to better inform the decision-making process.
Ensure all LVOs and PRs related to Safety are submitted timely and keep following up with SC
Delivering and organizing Safety equipment (First Aid, Fire Extinguishers, hibernation, PPE, etc.) in CO
Safety Briefing for new national staff in coordination with SAM
Support staff on urgent issues during the weekends in several cases.
Support Safety in documentation and archiving

Minimum two years of relevant experience in reception work and safety support

Good experience in using Ms Office.
EDUCATION: (include certificates, licenses, etc.)
Secondary school certificate or Diploma
Training in communication skills and reception
Preferred training in First Aid, and Firefighting.
LANGUAGE: (indicate fluency level
Fluency in written and spoken Local language
Advanced Level in English
