CARITAS Switzerland (CACH) has been working in Ethiopia for nearly 50 years. Currently CACH cooperates with a wide range of civil society, research, and private sector actors in Ethiopia. Registered as an International Foreign Charity Organization in Ethiopia, CACH is also operational at project implementation level. CACH’s main working fields are economic development, agricultural development and food security, WASH as well as Emergency and Relief response. Our current operational covers southern and Eastern Oromia, SNNP and Tigray regions, across which several projects are being implemented.

Summary of Duties

A Human Resource Assistant is reporting to the Deputy Country Director and HR department. The input of an HR assistant helps in the smooth functioning of a CACH’s Human Resource department. The job holder will help to work as a connection between the HR department and the CACH’s staff, and aid in the accomplishment of assigned tasks. Being an HR Assistant, you will be a part of our HR Department which works to implement human resource activities and objectives, to generate an organizational culture focused on employee well-being and improved quality of work.

Main Areas of Responsibility

  • Provide general administrative support such as preparing correspondence, forms, processing confidential reports and documents, filing and tracking deadlines.

  • Maintains accurate and up-to-date human resource files, records, and documentation.

  • Answers frequently asked questions from applicants and employees relative to standard, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff.

  • Assisting with day-to-day activities of the HR functions and duties

  • Handle employee’s insurance scheme and timely communicate to the insurance company whenever there is employee inclusion and exclusion.

  • Providing clerical and administrative support to the DCD and Human Resources

  • Maintains the integrity and confidentiality of human resource files and records.

  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.

  • Maintain proper records of employee leaves.

  • Update and maintain electronic (CACH HR database) and physical archiving systems of personnel files with all supporting documents.

  • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, insurance, pension agency and immigration.

  • Assists with planning and execution of the department activities.

  • Update employee records for existing employees such as promotion, termination, and change of address.

  • Process documentation and assist the HR department with clerical support.

  • Process staff requests and provide relevant information.

  • Prepare staff identity cards, and badges according to their levels.

  • Process employees’ requests and provide relevant information

  • Replace front office when needed.

  • Performs other duties as assigned.

Job Requirements

About you

  • BA Degree in Human Resource Management, Office Management, Business Administration, Management from recognized university.

  • Good knowledge of office package (Word/Excel) is required.

  • Good oral and written English skills.

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

  • Good organizational skills and attention to detail.

  • Experience as an HR Assistant is a plus.
