Job Description

Role and responsibilities

Properly implement the procurement procedures and policy of NRC, ensure procurement efficiency, provide the best possible assistance to the supply chain function.

 Generic responsibilities:

  • Ensure adherence with NRC policies, tools, handbooks and guidelines.

  • Prepare reports as required by management.

  • Ensure proper filing of documents.

  • Ensure that all procurement processes are in compliance with NRC Logistics Handbook, other NRC policies and donor requirements.

  • Liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment.

  • Prepare documents as required by line manager.

Specific responsibilities:

  • Carry out and assist with any procurements that need to be undertaken in Afar and ensuring that full procedures are followed to the full;

  • Prepare Programme Tracking Sheet weekly and submit to all designated focal points, including Country Office;

  • Register requisitions, quotations and purchase orders and update status reports and liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment;

  • Make sure documents are copied and filled before submission for payments.

  • Assist in carrying out market surveys and assessments.

  • Assist in training of programme staff on procurement procedures.

  • Have and update vendor list and submit on monthly basis to designated focal points;

  • Communicate with all necessary NRC and external parties for the arrival of items into the warehouse.

  • Support GFD Warehouse data management in selected Woredas ensuring timely Weekly and monthly reports.   

  • Full knowledge of donor compliance in relation to projects undertaken in the country office.

The skills, knowledge and experience that are expected from the position holder are as follow:

Generic professional competencies:

  • Work experience in assistant procurement roles in a humanitarian/recovery context

  • Previous experience from working under pressure in emergency contexts.

  • Good knowledge of English

Context/ Specific skills, knowledge and experience:

  • Diploma in procurement/Supply Chain Management or related field of study.

  • Experience from working as a procurement assistant in a humanitarian/recovery/Private sector context.

  • Documented results related to the position’s responsibilities.

  • Minimum of 2 years’ experience from working as procurement Assistant

  • Knowledge of Written and Spoken English

  • Experience using Agresso software for procurement is advantageous.

  • Knowledge of procurement policies, process and procedures

  • Demonstrated integrity by modelling the NRC values and ethical standards

  • Ability to plan and prioritize work.

  • Good interpersonal skills and ability to relate well and maintain effective working relationship.

  • Context related skills, knowledge and experience (shall be adapted to the specific position):

  • Knowledge of the context in Afar.
