Position: Fleet and Warehouse Operation Specialist

Purpose of the Job
The Fleet and Warehouse Specialist will be responsible and accountable for the delivery of all Central office fleet, warehouse and Liaison related activities in accordance with SNV Ethiopia logistics policies and procedures.
The Fleet and Warehouse specialist shall ensure that SNV fleet, warehouse and liaison activities are carried out in compliance with SNV’s Policies as well as national legislation. S/he carries out responsibility through efficient and effective organization and coordination of the fleet and warehouse activities.
Supervises and ensures the functions of the fleet and warehouse unit in accordance with SNV fleet and warehouse policy and procedure.
Closely monitor the overall condition and safety of SNV Own and rental vehicles, and motorbikes to provide effective and efficient transport service for quality programme delivery.
Warehouse and Asset
Strategically manage in compliance with SNV asset and warehouse policies and procedures.
Ensure proper stock control and reconciliation of data in the warehouse and asset management system.
Liaison
Ensure appropriate customs clearing, visa and related communication processes.
Ensure on-time renewal of legal registration and permit.
Ensure management of property, fleet, and tracking of data for renewal for visa, permit and registration.
Management
Ensure all disciplinary matters are handled in a fair, transparent, and timely manner and in line with the SNV Ethiopia Human Resource Policy.
Ensure efficient running of the transport operation by ensuring all costs, quality, and other performance targets are achieved.
Analysis and reporting
Regularly analyzing the information in each of the Vehicle Logbooks, combining this with other specific fleet information, presenting it in the Fleet Status Report, and monthly submission to the operation Manager.
Ensure proper asset tracking and inventory systems according to the SNV asset management system and provide support to other field offices as necessary.
Business Development
Ensure that fleet software implementation and a system of Fleet Planning are devised to deliver the most efficient Fleet service within the programme. This should incorporate systems for booking vehicles and drivers considering downtime for planned maintenance and repairs.
Advisory services
Ensure that all relevant SNV employees, service providers and partners are fully aware of and trained in their responsibilities with respect to the Country Fleet Policy.
Process development
In coordination with the operation manager, coordinate the countrywide fleet resources and analyze the existing fleet usage to determine future requirements for the Fleet.
Qualifications
Bachelor's degree in Procurement and Supply chain Management, Logistics, Business Administration, Management or a related field.
Proven experience with a minimum of 6 or 7 years in Fleet and Warehouse Management.
Strong knowledge of fleet, warehouse, and liaison management practices.
Good computer skills: Excel, Word, the purchasing system and SAP BD system.
Strong analytical and problem-solving skills.
Ability to recognize and create opportunities and to act accordingly.
Effective communication and interpersonal skills.
Ability to work independently and meet deadlines.
High level of integrity and ethical conduct.
Additional Information
Contract Type: National
Expected start date: October 1, 2023.
Duty Station: Addis Ababa
Contract Duration: One year with the possibility of extension based on performance and budget availability.
