Job Description:

The Purpose of this job is to provide support for SPIR II Project office human resource functions in recruitment, onboarding, record & documentation, separation process, and Human Resource Administration, as per WV Ethiopia policies, procedures and in line with the Ethiopian labor laws.

Recruitment, onboarding

  • Establish job applicants file by professional category and contact potential candidates that are identified among the applicants in the file by the hiring units when required;

  • Support the assessment process for the selected candidates.

  • Facilitates orientation process for new staff and ensuring that they have been fully oriented on WVE policies and SPIR II technical aspects of their job and expectations.

  • Facilitate and follow up performance appraisal of an employee on 60 days probation is reported by immediate supervisors five days ahead of the end of the probation period and in accordance with the WVE P&C Manual and the labor law of the land.;

Record and documentation

  • Prepare new employees employment contract and follow up the end date of the contract period.

  • Track contract end dates, update hiring managers and manage the contract extension process is done accurately and on time.

  • Maintaining physical personnel records and ensures the completeness and update of employee files and timely transfer to HO central documentation.

  • Follow-up and ensure the completeness of new hire document before transferred to HO.

  • Maintain records on status of SPIR II staff in mandatory trainings.

Performance & Development

  • Follow up and ensure new hires have completed mandatory training.

  • Follow up the probation period plan and review for new staffs and maintain the file.

  • Follow up staffs to complete periodic mandatory trainings

Others

  • Facilitate the process of implementing pension proclamation requirements for SPIR II staff;

  • Facilitate and follow up that all new SPIR II staff are enrolled for PESSA ID Card.

  • Provide support for creating and maintaining good culture in SPIR II office.

  • Customer Service for SPIR II staffs and candidates

  • Ensure all confidential documents are properly maintained.

  • Provide admin support for SPIR II P&C team

  • Performs other People and Culture duties as assigned by the supervisor

Job Requirements

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Professional Experience

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:

  • Three years of experience in INGO, NGO with a relevant human resources professional role, Recruitment, Benefit & Compensation, Training & Development, Onboarding etc. 

  • A combination of Human Resource, Accounting and Administration experience in the following areas: HR Administration, Documentation management, Remuneration, Benefits & Compensation, HRIS,

Required Education, training, license, registration, and certification

  • Bachelor's degree required, MA is highly preferred in human resources management, Business Administration, or related field and/or equivalent practical experience.

Preferred Knowledge and Qualifications

  • Excellent oral and written communication skills

  • Knowledgeable of Ethiopian Labor Laws, Tax laws, Pension laws and relevant requirements.

Travel and/or Work Environment Requirement: Travel up to 25% of time.

Language Requirements: Fluent in English & Amharic
