Job Description

Job Summary:

Reporting to Procurement Manager, the Supply Chain Officer is responsible for the efficient coordination and management of all warehousing and inventory management functions of the company. The position will also be responsible for the standardization of policies and good warehousing practices in all Prime Engineering Sites.

Duties and Responsibilities:

Goods reception &Transport:

  • Responsible for arranging and overseeing the transportation of goods in accordance with procedures.

  • Keep an accurate and up-to-date record of the store contents and inward and outward movement of goods in the warehouse register or stock cards.

  • Prioritize dispatch needs in conjunction with the Engineering teams

  • Supervise truck loading and documentation follow up.

  • Assist in receiving all supplies.

Warehousing & Inventory:

  • Monitor security of storage and supplies.

  • Receive completed store’s request forms

  • Ensure goods, equipment is signed for received on the request form (office expendables)

  • Prepare a monthly report for the expendables store outlining all stock movements and remaining balances.

  • On a monthly basis, work with the Procurement Manager to reconcile the Warehouse register in the Asset tracking sheet and equipment issuance forms.

  • Update the stock record cards regularly.

  • Conduct routine inventory inspection and submit report to the Procurement Manager in a timely manner.

Asset Management:

  • Prepare Asset inventory list, expendable store inventory list and produce monthly reports.

  • Monitor security of Prime Engineering assets and supplies.  

  • Ensure assets are signed for received on the Equipment issue and receipt form

  • On a monthly basis, work with the Procurement Manager to reconcile the asset register and Asset tracking sheet.

  • Update the asset register regularly.

  • Conduct routine asset inspection and submit report to the Procurement Manager in a timely manner.

  • Keep an accurate and up-to-date record of asset inward and outward movement in the Asset register.

Transport:

  • Manage and be accountable for the vehicle fleet, ordering and inventory management of all vehicles related parts and consumables, including fuel.

  • Evaluate, manage, and monitor drivers.

  • Prepare PRs for vehicles spare parts and vehicle repairs.

  • Signing on vehicle fuel forms for refueling and keeping accurate record and monitoring system on fuel consumption

  • Ensure the correct and timely routine maintenance and repair of the company vehicles and Equipment’s

  • Ensure that all vehicles carry the required on-board documentation and that all documents are kept current (including insurance).

  • Inspect and record condition of vehicles, by maintaining weekly checklists file and ensuring that Vehicles logbooks are accurately filled

  • Perform any other duties as may be assigned by the supervisor

Work Unit: Procurement and Property administration Department

Reports to: Procurement Manager

Job Requirements

Education and Experience:

  • BA Degree in Purchase & Supplies chain Management, Business Management or related fields. 

  • 3 and above years related experience. 

Required Skills/Abilities:

  • Project management skills, knowledge to analyze and interpret laws and regulations that governs the procurement is highly required.

  • Organization and administration skills, quick and innovative thinking

  • Presentation skills (verbal and written, writing skills) 

  • Good communication skills

  • Problem solving and analysis

  • Basic knowledge of accounting

  • Computer literacy 

  • Integrity and the ability to deal with confidential information are essential

  • Planning and organizing skills ability.

  • Efficient and accuracy with attention to details
