Job Description

General Purpose:

Office manager is responsible to work closely with the management team for organizing all of the administrative activities that facilitate the smooth running of an office and the school.

Major Job Task and Responsibilities:

  • Work with the management filing systems

  • Maintaining the condition of the school and arranging for necessary repairs

  • Work with the office team carrying out staff appraisals, managing performance and disciplining staff

  • Work with the office team delegating work to staff and managing their work load and output

  • Work with the office team responding to parent enquiries and complaints

  • Work with the office team reviewing and updating health and safety policies and ensuring they are observed

  • Arranging regular testing kids toys and equipment and safety devices

  • Work with the office team update new student package

  • Each term organize for new and existing student all the necessary preparation

  • Work with the office team managing day-to-day activities at a preschool.

  • Work with the office team supervise teachers and other support staff.

  • Work with the office team maintaining relationship with parents.

  • Work with the office team handle visitor tours and marketing.

  • Work with the office team visit classrooms and observe teaching methods.

  • Work with the office team document expenses and hand in reports

  • Work with the office team check frequently the levels of office supplies/school supplies and place appropriate orders

  • Work with the office team file and update, contact information of employees, customers, suppliers and external partners

  • Work with the office team updating employees contract

  • Work with the office team provide clerical and administrative support to the director, teaching staff as directed

  • Work with the office team ensure that the school operates in a consistently organized manner every day

  • Track staff attendance and absences

  • Work with the office team provide services for teachers, administrators and students like typing, proofreading, editing, copying

  • Work with the office team keep and track teachers weekly plan

  • Work with the office team organizing events like Christmas concert and end of the year concert….

  • Work with the office team attending meetings; recording and distributing minutes

  • Work with the office team update all the school license

  • Work with the office team arrange monthly utility bill payment

  • Update information & pictures on the website -Update facebook & Instagram 

  • Update new student package 

  • Visit classrooms and observe teaching methods and bring new ideas.

  • Dress professionally

  • Answer phones

  • Contact parents when kids are absent

  • Keep track teachers monthly observation report Update office manual 

Job requirements

BA Degree in Management or in related with relevant work experience
