Action Against Hunger USA is part of the Action Against Hunger International network. As an independent NGO, Action Against Hunger USA currently manages operations in 8 countries: Kenya, South Sudan, Somalia, Tanzania, Uganda, Ethiopia, Zambia and Haiti. Action Against Hunger-USA has over $100 million in programs, and approximately 1,800 permanent staff based in New York City, Washington D.C, Nairobi, and country offices. Additional growth is anticipated.

         I.            Job Summary

This is a unique opportunity to gain valuable experience of working with a senior manager at our capital office, providing administrative assistance and support. We are looking to recruit a female candidate to join our intern program. You must be a recently qualified graduate, with excellent written and spoken English, organisation and communication skills together with an interest in humanitarian work. You will be supporting a busy senior female manager in a variety of day-to-day duties.

Purpose:

To provide administrative and coordination support to improve operations efficiency

Engagement:

Coordinating and working with various departments and external partners

       II.            Essential Job Duties

The intern is expected to execute and deliver the following activities: 

Provide a broad range of support to the senior manager on a day-to-day basis in a variety of tasks including:

  • Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention

  • Managing diaries and organising meetings and appointments

  • Taking meeting minutes, and following-up actions

  • Seeking updates and following up actions as requested by the manager

  • Assist with arranging travel, transport and accommodation

  • Helping to organise events and conferences

  • Reminding the manager of important tasks and deadlines

  • Typing, compiling and preparing reports, presentations and correspondence as requested

  • Implementing and maintaining procedures/administrative systems

  • Represent the manager at specific working groups (Female staff working group, Office Improvement Group)

  • Miscellaneous tasks to support the manager as needed

V. Physical Demands

  • While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within short time frames under stressful situations in the context of a moderately noisy office with interruptions.

  • To travel to the field, the employee must attest to a level of physical fitness capable of enduring physically difficult, highly stressful situations which may include the necessity to walk long distances, to eat a limited diet and/or to reside in potentially uncomfortable housing or tents.

VI. Working Conditions, Travel and Environment

  • The duties of the job require regular job attendance at least five days per week. Must be available to work outside normal office hours or on the weekends as required by contact with the missions, mission security, or other obligations.

  • Must be able to travel as required for standard domestic and international business travel as well as to the missions if appropriate. While visiting the field, the employee may be exposed to precarious settings under high security risks and/or very basic living conditions and outside weather conditions, as well is to infectious diseases.

Job Requirements

I.                     Required Qualifications

  • Graduate degree in English, Management, Law or similar field from a recognized university and have graduated within the past two years.

  • Have excellent academic performance as demonstrated by recent university or institution records.

  • Graduates with a strong personal interest in gender equality, diversity and human rights is highly desirable.

  • Must be above 18 years of age.

  • Interns must have no medical limitations which would affect their serving in the function(s) expected from the program. They must confirm that they fit to work, as confirmed by a medical practitioner. In line with workplace equality and inclusion, persons with disabilities will be assessed on a case-by-case basis.

II.                   Required Skills & Experience

  • Excellent organisational skills – you can manage your time well, are punctual and like to be well organised.

  • Excellent written and spoken English is required together with Amharic. Additional languages desirable

  • Ability to take initiative and prioritize multiple tasks as well as self-direct with minimum supervision.

  • Excellent research skills, finding and compiling information

  • Genuine interest in, and commitment to humanitarian work

  • Able to respectfully and calmly work with other colleagues in a busy and changing work environment
