Job Responsibilities and Duties 

  • Greet and welcome clients and guests and maintain good relationships with clients

  • Manage co-working space, booking and reservation, and direct space users to the appropriate space or office.

  • Answer, screen, and forward incoming phone calls and provide callers with accurate information about the space when required.

  • Ensure reception area is tidy and presentable, oversee and manage office premises as well as, repairs and also manage office equipment and supplies

  • Receive, sort, and distribute daily mail/deliveries

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, and keep Client records)

  • Order front office supplies ensure all necessary stationery and material (e.g. pens, forms, and brochures) are availed and keep an inventory of stock

  • Keep updated records of office expenses and costs

  • Perform other clerical receptionist duties such as filing, photocopying, and printing

  • Assisting the implementation and execution of various operational strategies, processes, and procedures to ensure efficient execution of day-to-day activities of the office

Direct Supervisor: Director of Finance

Duration and Type of Assignment: Full-Time,

Monday – Friday: Afternoon Shift (1:00 PM- 8:30 PM)

                                 Saturday:  Full Day (8:30 AM- 5:30 PM)

Job Requirements

Qualifications: 

  • BA Degree in Marketing, Business Administration. Management or any other related field

  • 0-2 years experience

  • Proficient in Microsoft Office Suite and other necessary computer programs

  • Prior experience as an administration assistant, office manager, or receptionist is an advantage

  • Excellent communication skills (written and verbal)

  • Fluency in English and Amharic

  • Ability to maintain a positive, friendly attitude even under a high pressure

  • Excellent organizational and multitasking skills
