Cooperazione Internazionale (COOPI) is an international Italian NGO established in 1965. COOPI Ethiopia started its operation in 1995 and has been primarily implementing humanitarian aid and development programs covering the sectors of: WASH, Shelter/NFI, Agriculture and Livelihoods, Energy and CCCM. COOPI works in Addis Abeba, Ahmara, Afar, Benishangul Gumuz, Oromia, Somali and Tigray Regions.

COOPI is looking for qualified Fleet Supervisor to be based in Addis Ababa Coordination Office

Position: Fleet Supervisor

Role and Responsibilities

Key Activities/ Responsibilities

·  Ensure that use of vehicle is coherent and support the timely implementation of programs’ activities by coordinating with PMs and Program Coordination Staff on daily, weekly and monthly basis.

§  Maintain a movement tracking system to monitor COOPI staff, drivers and vehicle movement for trips outside the office.

§  Liaises and collaborate with field offices to ensure coordinated and optimal utilization of vehicles.

§  Assure that policy, standards and procedures on fleet management of COOPI are in place and respected.

§  Supervise fleet management requirements including vehicles log book/sheet (VLB/S) and report on fuel consumption, maintenance and service, among others.

§  Support the implementation of safety measures in coordination and field base offices.

§  Carry out regular inspection of all vehicles/motor bikes to assure they are fully equipped with tool kits, First Aid kits, and other relevant equipment for short or long journey.

§  Supervise timely vehicle maintenance and repairs dealing with in-house mechanic or mechanic workshops.

§  Manage and be accountable for the vehicle fleet in liaison with COOPI field operation supervisors and logistics team, ordering and spare parts management of all vehicle related parts and consumables, including fuel.

§  Ensure that appropriate communications equipment is installed and functioning in COOPI vehicle to meet the operational and security requirements.

§  Support the recruitment of new staff relevant for the fleet management (drivers; mechanics)

§  Brief and manage drivers based in Addis coordination and field offices ensuring all required tasks are carried out on-time, respecting COOPI’s procedures and regulations.

§  Manage the in-house mechanic and ensure that vehicles are properly serviced and maintained.

§  Monitor and evaluate COOPI drivers’ and mechanic’s performance.

§  Plan, schedule and assign in town and field trip movements to meet program goals in a smooth, cost efficient and effective manner.

§  Assure that there is an efficient system of booking (daily, weekly, late, individual vehicle) as per the vehicle booking and allocation.

§  Ensure that all vehicles carry the required on-board documentation and that all documents are kept current (including Insurance).

§  Prepare weekly and monthly report on transport department and discuss with the Head of Operation.

§  Work with the Field operations supervisors/logistics teams, Logistics Coordinator and Head of Operations to ensure that vehicles are prepared for routine and emergency security requirements.

§  Support the procurement of new vehicles, assuring the respect of Ethiopian rule of law.

§  Lease with contractors related with rental of cars.

§  Establish quality transport and services for the organization.

§  Perform other related task assigned by the line manager in order to meet COOPI’s programs goals.

Job Requirements

Qualification and Experience

§  Diploma or BA Degree in procurement and supply chain management or related fields.

§  At least 8 years of relevant working experience with NGOs in a similar position.

§  Proficiency of spoken and written English is a must. Knowledge of Italian is an asset.

§  Capacity of over sighting operations in hard-to-reach geographical areas and complex emergency settings.

§  Proficiency in the use of Office package.

§  Be familiar with local regulations/Laws.

§  Knowledge of mechanics.

§  Proven capacity to work in a team is essential.

§  Excellent interpersonal communication skills.

§  Experience in human resources management.

§  Highly organized and efficient worker.

§  Positive and personable demeanor.

§  Willing to take initiative and work independently when needed.

§  Respectful of humanitarian principles of humanity, neutrality, independence and impartiality.

§  Willingness to commit to COOPI’s values and mission.

Duration of the contract: 6 months with possibility of extension

Salary: Based on Organization Salary Scale.

Duty starting date: As soon as possible
