Job Description

Position: Administration Operation Officer - Logistics

Deadline: October, 08/2023

The Administration Operations Officer - Logistics is part of the Operations team, which focuses on providing logistics operation support services in the countries, to ensure the availability and quality of procurement, administration, logistics, IT, legal, and/or HR to fully support SNV operations.

She/He ensures effective information exchange, collaboration, and understanding between different entities, with the aim of achieving SNV's overall objective and resolving issues.

1. Customer Service and coordination within/outside the organization (40%)

  • Facilitate the work with SNV and embassies, NGOs and government organizations.

  • Draft, clear and submit necessary logistics documentation for approval. Then disseminate correspondence letters to the concerned government offices and embassies.

  • Support the team and partners on guidelines for work permits, visas, duty-free privileges, importation, and asset disposal.

2. Customs Clearing (30%)

  • Processes and obtains duty-free status and facilitates all necessary documents for clearance of goods from abroad including personal effects.

  • Support clearance of expatriate personal effects when coming and going out of the country.

3. Vehicle-related Assignment (20%)

  • Collaborate with fleet and warehouse team on making vehicle annual inspections and insurance.

  • Follow-up accident reports with the insurance company.

4. Other (10 %)

  • Liaise with the Security Coordinator for any safety requirement in the placement of firefighting equipment and other safety-related policies and procedures.

  • Work with the line manager and asset focal person on any leased property/asset-related issues and work to resolve them.

  • Report weekly and monthly reports.

Qualifications

  • Bachelor’s degree in administration, Management, Business Administration, Logistics and office management Background or other relevant field required.

  • A minimum relevant experience of 2 to 3 years in general operation, admin and liaison work.

  • Good communication skills both verbal and written.

  • A driving license for a manual car is required

  • Excellent computer skills and proficiency in Excel, word, outlook, and Access.

  • Good interpersonal skills and a collaborative style.

  • Organized, able to multi-task and prioritize the daily workload.

  • Ability to recognize and create opportunities and to act accordingly.

Additional Information

Contract Type: National

Expected start date: 01, December 2023.

Duty Station: Addis Ababa

Contract Duration: One year with the possibility of extension based on performance and budget availability.
