Lutheran World Federation (LWF) in Ethiopia  

LWF World Service Ethiopia is a registered foreign charity, which has been operating in Ethiopia since 1973 implementing various development and humanitarian projects in different parts of Ethiopia.

Job Purpose 

 Logistics and Admin Officer who will be responsible for planning, executing and reporting logistical activities, procurement activities, human resource and administrative activities based in Ginir/East Bale RCO for the projects being implemented in Oromia Regional State.   

Duties and Responsibilities

  1. The Logistics & Admin officer will be responsible for: 

·         Procurement of goods, services and works, fleet management, warehouse and asset management, human resource and administrative activities for the entire projects in the ERCO under the direct supervision of the regional project coordinator and technical support from the Country Pro-Log Coordinator. 

·         Ensuring that LWF’s personnel policies and procedures are implemented consistently throughout each project in order for LWF to achieve its objectives;

·         Maintaining and regularly updating human resource-related information.

·         Facilitate and coordinate recruitment and selection processes to ensure transparency, fairness and equal employment opportunity for all.

 Procurement:

·         Handling local procurement of goods, services, and works and collaborating with the country office procurement team for higher-value procurements.

Warehouse & inventory management: 

·         Manage the warehouse activities in collaboration with the storekeeper. 

Asset management:

·         Manage the fixed assets with proper record keeping and updating the asset register in collaboration with the storekeeper, program and finance team.

Fleet management:

·         Manage LWF-owned and rental vehicles with effective and efficient utilization of the resources and timely maintenance and service as well as monitoring of the vehicle’s movement and safety and security.   

·         Assigning vehicles based on approved travel requests and monitoring movements

·         Manage and monitor fuel consumption 

  Periodic Reporting

·         Generate and share monthly procurement, vehicle and stock reports.

  1. Human Resource and Admin

·         Maintain and update all official personnel files and records for the programme on a regular basis at the field level.

·         Prepare monthly staff list reports of all field offices and reports for the Head office and other relevant departments.

·         Manage leave, sick leave and any staff absenteeism and report on a monthly basis to the Human Resource Officer at the head office and the Project Coordinator at the Regional Office HR Coordination Office.

·         Communicate with the human resources officer about the renewal of staff employment contracts, resignation and follow-up on staff contracts that are on probation or temporary basis.

·         Communicate any staff misconduct to the country HR Team in a timely manner.

·         Provide support and advice to line managers and employees regarding HR issues with consultation of the HR Officer

·         Facilitate all recruitment, transfer, promotion, resignation and related processes and document all accordingly.

·         Ensure all job vacancy notices are posted on the relevant notice boards within LWF Offices, provide vacancy notice postings on time, and liaise with them.

·         Update all recruitment information and files following completion i.e., short-listed and non-short-listed CVs, exam results, interview results etc.

·         Participating in the recruitment for those positions locally posted with the consultation of the HR Manager  

·         Communicate/inform applicants who have not successfully passed the assessment in a timely manner.

·         Organizing induction programmes for new staff joining LWF in consultation with LWF departments.

·         Follow up, and make sure that staff under your supervision have accomplished their obligation, and execute their daily routine duties well including security of the office.

·         Ensure that the offices & the compound are clean, the toilets are properly working and clean and conducive for working.

Administration:

·         Monitor the office lease agreement and timely renewal; follow up on the office utilities payment, telephone and internet payments, follow-up office cleaning and refreshment services, etc.

Job Requirements

  • Bachelor's Degree in Procurement & Supply Management, Logistics & Supply Chain Management, Business Administration, Management any related study that can add value to the role.

  • Minimum of 4 years relevant experience in areas of managing procurement, fleets, warehouses, assets, HR and Admin activities.

  • Strong communication skills in English (written and oral)

  • The ability to communicate in Afaan Oromo Language is required.

  • Good interpersonal and communication skills.

  • Proven Computer Literacy. 

  • Previous related experience in NGO setup is an advantage
