Job Description
Key Responsibilities
Receiving direct and relay telephone messages and fax messages.
Maintain the general filling system and file all correspondence incoming & outgoing letters, memos and other documents related with the department.
Maintaining and adequate quantity of office supplies and provide upon request.
Providing word processing and secretarial support.
Type confidential documents on a word-processing system.
Preparing outgoing letters and internal memorandum of the department/company.
Distributing approved memos or letters for the right staff/department.
Maintaining supplier database.
Preparing outgoing letters and distribute on time.
Ordering departmental stationery materials as needed and verifying the accuracy of supplies received.
Organize & coordinate meeting and all necessary inputs needed to the meeting
Make prior arrangements & reminders for the mangers before meetings and appointments
Give reminders for pending issues for Heads.
Operate office machines, like fax, photocopy and scanner.
Undertaking different related activities assigned by the Department Head and Management Members.
B.A. Degree in Administrative Service Management & Technology System or related field (Management, Marketing or Diploma in Secretarial Science and Office Management.
2 Years for B.A. Degree or minimum of 4 years for Diploma.
Knowledge of basic computer application and proper operation of office equipment’s.
