Job Description
Job Title: Logistic and Transportation Officer
Duty Station: Addis Ababa with 5% possibility to field work
Reports To: HR and Administration Manager
Duration of Contract: For one Year (with possibility of renewal)
Background:
Imagine1day is a non-aligned, nonprofit making development organization operating to improve access to quality of primary education in Ethiopia. Imagine1day-Ethiopia Program is aimed at contributing to the national efforts of improving and ensuring universal quality primary education for the children of Ethiopia through innovative models of connecting stakeholders and development partners.
Primary Function: Assure the smooth running of the logistic and transportation, compound security, compound and office cleanness. Supervise Drivers and Driver Mechanics, security workers, Cleaners.
Job Responsibilities Related to Logistic:
1. responsible for ensuring that goods are transported to where they need to be in an efficient manner.
2. Facilitate hotel arrangement and other logistics for training, visitors and staff in collaboration with procurement department
3. logistics and transportation officer give direction to workers while supervising and resolving problems in this area of business.
4. implement health and safety procedures
5. oversee staff lounge facilities
6. oversee office arrangement, cleanness and office facilities
7. facilitate smooth running of compound security work
8. follow up lease period of office, order maintenances of office and the whole compound
9. coordinates the movement of people and materials.
10. responsible for looking for ways to improve the transportation process, maintaining healthy relationships by working closely and in relation with people both inside and outside the company, such as clients and co-workers.
11. Maintaining good and healthy relationships with staff, customers, or suppliers and seeking feedback from customers in order to ensure their satisfaction
12. Ongoing tasks commonly involve preparing reports for upper management, defining budgets and forecasting the logistics, warehousing and transportation demands for the I1D over time.
13. must be a problem solver and must also demonstrate a high level of analytical skills in order to identify problems, come up with solutions and solve problems.
14. Perform other duties assigned by the supervisor/organization
Job Responsibilities Related to Transportations:
1. Coordinate with all I1D department managers to determine transport requirements and schedule transport to meet them.
2. Assist with assessments of local and international transportation resources and infrastructure, and the contracting of transportation assets;
3. Coordinate the movement of vehicles and other transportation assets;
4. Facilitate other mode of transportation both local and international
5. Ensure the appropriate use, maintenance and repair of all vehicles, motorcycles and generators;
6. Keep documents current such as registration, insurance, vehicle logs, daily inspection reports, etc.
7. Ensure sufficient supply of fuel and oil.
8. Manage fuel requests, fuel stocks (supplier agreements) and spare parts inventories;
9. Produce monthly fuel and vehicle use reports, “work orders,” etc.
10. Install and maintain the Vehicle Management System (VMS); ensure that data is input regularly and that required reports are produced.
11. Maintaining vehicle compliance with regulations like Department of Transportation requirements and passenger safety laws.
12. Hire, train and supervise drivers and Driver Mechanics.
13. confirm that all vehicles meet government safety regulations.
14. Act as liaison between I1D and local government agencies and personnel necessary to keep the I1D vehicle fleet legal and roadworthy.
15. Advise other department on the best transportation methods
Key Working Relationships:
Internal:
All staff using I1D vehicles and need other logistic & services.
External:
Transportation Office and Programming Staff; UN Agencies, Logistics Cluster, sister NGOs, local partners and other entities involved in the transportation of relief goods and personnel; contracted transportation service providers; local government customs and vehicle licensing authorities

Required:
1. Minimum 5 years experience managing a logistic and transport department
2. University Diploma or degree
3. Recognized ability to work as part of a team
4. Significant experience in fleet management and / or logistics
5. Understanding of policies and procedures governing the management of motorized assets and the contracting of transportation services
6. Valid driver’s license and clean driving record
7. Strong negotiating skills
8. Demonstrated rational and logical thinking; ability to creatively and quickly find solutions to problems
9. Experience managing inventories (e.g., asset and spare part stock management)
Preferred:
1. Graduate degree
2. Extensive driving experience
3. Mechanical experience
4. Logistic administration experience
