Job Description

Duties and Responsibilities

  • Organizing meetings (Producing meeting Agendas and Taking minutes), maintaining diaries, and arranging appointments;

  • Managing all incoming and outgoing correspondence, including phone calls and letters;

  • Greeting and assisting clients, scheduling appointments, and ensuring prompt communication.

  • Ensuring that all reports are meticulously prepared, written accurately, and formatted correctly and organize/file them in a logical and accessible manner;

  • Are responsible for coordinating mail distribution and other similar publicity tasks to ensure that they are sent to the right person using the right words;

  • Are responsible for gathering necessary information on office expenditure, verifying the accuracy and ensuring compliance with company policies and procedures;

  • Supports HR and administrative personnel with their day-to-day functions and/or responsibilities;

  • Handle secretarial and administrative duties and other general office activities including photocopying, faxing and mailing;

  • Assist in arranging travel for the management team, like booking flights, arranging vehicles & hotel reservations;

  • Coordinate with regional team members to exchange information, sending/receiving documents accurately & timely;

  • Support the logistic team by coordinating fleet management and ensuring timely vehicle maintenance, fuel usage and insurance renewals;

  • Maintain professional and polite communication via calls and mail and make sure it is communicated with the right person;

  • Assist the CEO in arranging his/her calendar, including meeting schedule, and other relevant events;

  • Assist the CEO in handling emails, phone calls and other communication;

  • Other tasks assigned by the immediate supervisor

Job Requirements

 Academic qualification

  • Bachelor's Degree in Office Administration, Business Management, Information Science or other related fields

Additional qualifications

  • Proficiency in English, both writing and speaking is essential

  • Excellent interpersonal communication skills

  • Self-motivated, and result-oriented attitude

  • Problem-solving and well-organized

  • Strong Personality

Years of experience:

  • BSc Degree and 4+ years of proven experience

Salary: Negotiable
