Job Purpose 

The purpose of this job is to enable LWF to ensure a strong basis for grant acquisition and management.

Duties and Responsibilities

  • Lead the grants management responsibilities of the organization;

  • Identify and track calls for application and research on new grant opportunities

  • Developing relationships and collaborating with key partners and potential donors

  • Lead project kick-off for grants in the portfolio, including planning and facilitating startup calls/meetings with program officers, and reviewing project timeline, deliverables, and donor requirements in detail

  • Lead the process of developing and submitting high-quality and compliant concept notes and proposals that are aligned with LWF’s response strategy and donor priorities, in line with LWF’s Standard Operating Procedures;

  • Deliver donor compliance responsibilities for assigned portfolio, including working with the program staff and finance units to periodically review and monitor award implementation, supporting reporting and procurement to ensure compliance with donor requirements, and providing needed compliance support to country and field offices;

  • Ensure completion of program-specific components of the grant closeout process, including the submission of narrative and financial reports and disposition requests

  • Maintain good donor communications, requests and amendments to ensure they are communicated effectively and oversee completion of resulting actions; coordinate response to donor queries as needed;

  • Problem-solve related to grant implementation with the country team to instill overall health of grants escalating issues to supervisor as needed

  • Work closely with the Program, Finance, Human Resources and Pro log Units to coordinate proposal development and share roles and responsibilities;

  • Maintain knowledge management systems around resource development (ensuring documents are posted on SharePoint as applicable, maintaining proposal libraries, documenting lessons learned, etc.).

  • Support the Program Unit to maintain knowledge management systems for the portfolio of grants (ensuring documents are posted on the LWF MEAL system (Activity Info) as required under donor/LWF regulations and processes.

  • Carry out field visits, attend meetings and hold workshops with staff, necessary to develop and finalize the proposals (including the budget, log frame, work plan and procurement plan)

  • Provide support and build capacity of the implementing project officers in identifying and addressing challenges or concerns regarding grant management

  • Provide regular updates on concerning projects under his/her supervision to the program coordinator;

  • Whenever relevant, attend Donors’ meetings/visits, record and disseminate the information shared;

Coordination and Accountability

  • Actively engage in humanitarian coordination mechanisms including relevant clusters and task forces as assigned by the program coordinator;

  • Contribute to building effective networking/collaboration relations, communication and partnerships with implementing partners, communities, NGOs and local and State level Government stakeholders and protect LWF’s integrity and accountability;

  • Follow up to ensure that projects are implemented according to core humanitarian standards;

Finance and Admin

  •  Monitors closely project expenditures against the approved budgets and terms and conditions of grant agreements;

  • Monitor timely purchase and payments, and ensures satisfactory accountability of all project expenditures in line with LWF and donor financial regulations

  • In liaison with the Finance Unit and program staff, prepares and presents timely and accurate monthly financial projections of expenditure for projects and monitors deviations to share and flag timely measures to the program coordinator

  • Ensure maintaining/filing of beneficiary and distribution lists for portfolios assigned to him/her

Human Resources

  • Actively engage in the recruitment of qualified project staff with the support of the HR Unit for portfolios assigned to him;

  • Manage the performance of staff under his/her direct supervision;

  • Maintain teamwork and an enabling working environment for field teams including ensuring clear reporting and communication channels and regular documented meetings;

  • Support the professional development of the team members and conducts regular performance appraisal of the team members;

  • Support the identification of training needs and plan their execution.

 Staff Support

  • Identify and design appropriate training opportunities for project staff when possible

  • Ensure all staff are given security briefings and that they adhere to security procedures.

  • Ensure that staff management and other processes policies and systems reflect LWF's code of conduct.

Other

  • Carries out any other duties as assigned by the LWF Program Coordinator and Resident Representative.

Job Requirements

Job Requirements- Experience, Knowledge & Competencies

  • At least a Master’s degree in Social Sciences, development studies or its equivalent from a recognized institution

  • Relevant experience of 5 years of BA/BSc and 3 years of MA/MSc degree holders in grants

  • Minimum of three (3) years of experience in grant management in recognized humanitarian organizations

  • Demonstrated knowledge of and experience working with UN agencies as donors and partners working with some of ECHO, OCHA, BHA, BPRM, WFP and UNHCR.

  • Demonstrated success working across the full cycle of project/award management, including strong experience in program design and proposal development

  • Demonstrated ability to effectively collaborate across teams to deliver results

  • Proven ability to think and act strategically, including the ability to communicate effectively verbally and in writing

  • Demonstrated attention to detail, ability to multi-task and able to make independent decisions;

  • Professionally proficient written and verbal English communication skills

  • Professional proficiency in Word, Excel, and PowerPoint, and ability to learn and communicate with SharePoint systems

  • Excellent record-keeping and documentation skills;

  • Excellent communication and interpersonal skills; and

  • Fluency in spoken and written English required.
