Job Description

Infinity Advanced Technology Solutions P.L.C. (IATS) is a leading medical equipment distributor and technical service provider in Ethiopia. Currently the company needs to hire a qualified personnel for the following vacancy:

Roles and Responsibilities

Technical Task:

·        Ability to answer service calls with the proper customer handling formality and register the call with full information on issue registration system

·        Record on ODOO the customer call with the full information (site and  contact name, customer full address, type of equipment, time reported, and failure or faulty)

·        Check to verify whether the customer is under warranty, contract or to be treated with on demand service and pass it to the concerned Modality leaders

·        Ensure that Fes are assigned to handle the issue remotely if possible or address the issue in person for the task which are under warranty or contract

·        Sends service quotes to the customer and close follow up to get PO, if the customer warranty has expired or has no contract coverage, SSC

·        Communicate with Modality leaders to send the assigned FE to handle the task and follow up the task completion, up on receiving PO,

·        Communicate with the customer with issue process update till completion

·        Arrangement transportation (Car and Flight) for FEs and other staff as they are assigned to handle issue based on the urgency level as communicated by the Modality leaders/TOM/TSM

·        Processing Engineers, drivers and other staff allowance on ODOO for all travels outside of Addis Ababa and follow up for settlement of the advance after their return;

·        Arranges vehicle for weekends, holidays and after working hours and during emergency situations; Inform drivers ahead of Friday, Holiday or closing hours to be on stand by for call if Saturday, Sunday or holiday require emergency calls or planned overtime work.

·        follow the normal procedure of getting proforma invoice (PFI) and if the order is for on demand customer provide PI and follow up to get PO. If part replacement required, based on the FE recommendation of the spare part to be ordered  through email,

·        share the order list for LC opening to finance to get confirmation upon getting PO,.

·        Place the order and follow up all the steps as per the standard time set till delivery ones LC opening confirmation is provided,

·        Place the order, collect PFI, update the spare part order tracker form and proceed with the steps as per the standard time set till delivery, if the spare part to be ordered is for on contract or on warranty customer,

·        Organize delivery of essential spare parts or materials by requesting the store clearance through ODOO to reach the field engineers assigned on site when required

·        Record service revenue generated from on demand service and parts sales up on issue completion and follow up with finance to confirm collection.

·        Keep track of FMI requests from supplier, communicate and plan it’s execution with modality leaders, follow up till completion, properly collect and record FMI completion documents  and report to the supplier of its completion to request for payment

·        Collect customer satisfaction for warranty, on contract and on demand tasks and prepare customer satisfaction analysis accordingly 

·        Timely register installed equipment on ODOO with the required equipment information

·        Request for system ID after collecting installation report & PLCs from FE

·        Requesting and handle Petty cash; collect receipt and timely finalize settlement with finance department

·        Dispatch & collect letters from respective customer or institution when required

·        Gather stock wishes of Modality Eng. quarterly, request for PFI from supplier and submit the budget request form to logistic

·        Prepare Budget for new projects as requested by the project manager

·        Prepare QO and Plan for Yearly, Quarterly and Monthly

·        Compile and organize reports (Weekly, Monthly and Quarterly) by using the proper reporting format

·        Filling out the necessary forms for training programs to get them approved by management and share to HR and follow the execution with Executive secretory

·        Over all documentation handling/ FMI, Spare part quotation PO, PO sent to suppliers, Spare Part replacement Service Reports from FE ,PM,CM,I of Contract, Warranty and OD service, Letter ; As per the QMS requirement, working with PMI and responsible personnel to manage documents and make sure the documentation process is inline 

·        Schedule Preventive Maintenance for equipment under Contract, Standard/Extended Warranty and on demand; follow up the execution and update the PM tracker 

Job Requirements

Education:

 Bachelor’s degree in Sales and Marketing, health related fields, and similar fields of study

Experience

More than two years of experience in coordination, in managing importing health equipment and spare parts; customer handling
