Duties and Responsibilities

  • Booking

  • Greets and welcome guests and visitors as soon as they arrive at the office

  • Directs visitors to the appropriate person and office

  • Answers or forward incoming phone calls to concerned staff

  • Ensures reception area is tidy and presentable, with all necessary stationery and material

  • Provides basic and accurate information in-person and via phone/email to customers

  • Prepares correspondences and emails; and keeps files in a proper manner

  • Receive, sorts and sends documents to the receiver

  • Maintains office security by following safety procedures and controlling access via the reception desk (visitors badges)

  • Organize s and makes arrangements for appointments and meetings

  • Carries out photocopying, binding, scanning of documents

  • Performs other clerical receptionist duties such as filing, photocopying, transcribing

Competencies

  • Proven work experience as a Receptionist, Front office Representative or similar role

  • Excellent interpersonal and customer service skills

  • Communication and teamwork

  • Multitasking and time-management skills

  • Good Computer Skiles & Proficiency in Microsoft Office Suite

  • Professional attitude and appearance

  • Good English writing skills

  • Trust worthiness 

Job Requirements

  • Bachelor Degree in Secretary Science and Front Office Supervision or related fields

Experience

  • Minimum of 2 years, work experience out of which 1 years in similar position in the GYM or hotel sector.
