Job Description
The Human Resources Specialist will assist the Assistant Head Human Resources and General Services in the following assists in the recruitment and onboarding process; manage employee personal file; help manage employee attendance; Prepares draft letters on staff related matters as directed; Assists in performance management process; Manages logistics in relation trainings/staff meetings etc. Assists in the preparation of reports on staff matters; Follow-ups on foreign staff members work and resident permit processes in relation with the concerned.
PERSONALLY PERFORMED RESPONSIBILITY
1. Assists in the development of job descriptions through collection of work activities/details from user department;
2. Helps in posting of vacancies; assists in organizing applicants and screening process; arranges interview schedules.
3. Arranges logistics in relation to recruitment process.
4. Assists in providing on boarding of new employees through giving them basic information, tour of campus etc.
5. Helps in following up of progress report submission up to end of probation period.
6. Assists in the development of personal files of staff and manage employee personal file.
7. Ensures the collection of information/documents for personal files per policy and in coordination with respective staff.
8. Updates employee files and ensures completeness as all times; including updating Education
9. Collects daily information on attendance from all sources; Prepares data on a weekly basis and submits for review.
10. Prepares monthly data for payroll action and management reports
11. Prepares draft letters on staff related matters as directed.
12. Issues experience and other letter as approved and signed by concerned.
13. Ensures copy of letter is filed in staff personal file.
14. Disseminates communiqués in relation to staff performance as directed.
15. Collects document on staff performance as relevant.
16. Ensures same is filed in personal file of staff.
17. Suggests arrangements and logistics in relation to trainings/staff meetings.
18. Manages arrangements/logistics once approved.
19. Finalizes any payments and related matters once training/meeting is over.
20. Collects data for preparation of reports on staff matters as directed.
21. Prepares data in the form of information.
22. Presents same to supervisor for review.
23. Includes any corrections/amendments and presents final data/report.
24. Follow-ups on foreign staff members work and resident permit processes in relation with the concerned.
25. Assists in collection of data on customer satisfaction.
26. Compiles data for analysis
27. Make sure that all employees have pension ID cards and TIN Numbers
28. Monthly report to Private pension Authority
29. Perform any other duties that may be assigned from time to time by the supervisor.
BA/MBA in Business Management and minimum 2-5 years Multinational experiences as HR officer
Excellent spoken English and IT skills. Degree in IT is an asset.
