Job Description

Main Purpose

Performing  the day to day  activities  and administrative processes for  the clearance and transportation of medical and non-medical goods  for a particular supply office (coordination or project level)  according to MSF protocols and standards in order to ensure the optimal running of the mission/project

 Accountabilities 

Performing the day to day activities and administrative processes to ensure an efficient running of the clearance and transportation processes of medical and non-medical goods for a supply office (coordination or project) following the supply procedures according to MSF standards and protocols. Including the following activities: Managing and planning, in collaboration  with the line Supervisor and the Warehouse Supervisor, the shipment of goods between the projects and/or from the capital to the projects choosing the best possible means of transportBeing responsible for the reception of international freight and its forwarding to the field.Being  responsible for all customs and administrative related issues Regularly assessing the local transport market (companies, prices, services, delays,…), and proposing different third party providers for validation Performing delegated tasks according to his / her activity and as specified in his/her job description

 MSF Section/Context Specific Accountabilities

 Performing the day-to-day activities and administrative processes to ensure an efficient running of the clearance and transportation processes of medical and logistic goods for a supply office (coordination or project) following the supply procedures according to MSF standards and protocols and specific country regulation. Including the following activities: Managing and planning, in collaboration  with the line Supervisor and the Warehouse Supervisor, the shipment of goods between the projects and/or from the capital to the projects choosing the best possible means of transport Being responsible for the reception of international freight and its forwarding to the field and updating online Cargo follow up in the real time if any change of status of each process Being responsible to upload medication details on single-Window (EFDA system) such as Certificate of Analysis, Pre Import Permit, Donation Certificate, Invoices, Packing list, VDD (Valuation declaration documents) and other requirement Direct contact with MOH for support letter and MOF for tax-free letter and any other relevant authority involved in importation and exportation of humanitarian supplies. Being responsible for all customs and administrative related issues such as application or requirement by authorities (MOH, MOF, customs commision, EFDA, etc.),Responsible for online single window EFDA application on Ethiopian Electronic single window (ESW) for traders Collaborate actively with relevant departments in HQ (APU), Kenya Office, Coordination and projects regarding importation and transportation of medical and non-medical goods. Collaboration and cooperation with Pharma Manager and Transport and custom manager  and perform of the job in case of absence Regulalry update cargo overview tracking sheet Regularly follow up on deposit return to be collect back from customs together with Finance department In close contact with Clearance agent for cargo release Keep tract of filing system for cargos and regularly upload scanned cargos document on share point Improving and following up the monitoring systems in place Performing delegated tasks according to his / her activity and as specified in his/her job description Preparing monthly reports and providing analysis related to various tasks

Job Requirements

Education

Essential secondary education

Experience

At least 2 years' experience in supply chain related jobs or in the logistics department

Languages                            

Essential mission working language and local language
