Job Description

Essential Duties and Responsibilities:

   The Assistant Admin Manager will coordinate and control the company’s cleaning, Office maintenance, transport, liaising and other services that fall under Admin responsibilityØ  Plan, prioritize, assign, supervise, review and participate in the work of staff responsible for facility maintenance.Ø  Ensuring that the best cleaning service is delivered to all areas of the Office.Ø  Oversee effective implementation of company’s fleet and other utilities Management.Ø  Develop procedures for users on proper handling and utilization of vehicles.Ø  Follow up the annual registration and inspection of vehicles.Ø   Monitor the proper allocation and utilization of vehicles and fuel consumption.Ø   Coordinate vehicles maintenance and repairs including regular servicing.Ø   Monitor insurance coverage for new vehicles and renewal for existing one.Ø   Follow up the annual registration and inspection of vehicles.Ø    Work with Line Managers to report problems, solutions, and costs associated with utilities.Ø   Develop and maintain a relationship with all contractors and vendors ensuring efficient facility operations.Ø  Liaise with public utilities (water, power and telecom services) to ensure continuous service provisionØ   Monitor timely bill settlement for external service providers.Ø   Maintains cleanliness and serviceability of facilities and equipment as assigned.Ø   Performs various general office support as assigned.Ø  Ensure that company’s properties are insured, the list of property is updated.Ø  Lead work space arrangements for staff, configuring office and common areas, and organize furniture and other facilities, repairs and improvements as needed.

Job Requirements

Education and/or Work Experience Requirements:

·       BA Degree in Management, Business Administration or other business related disciplines

·       At least Five years and  proven experience on similar roles

·       Good working knowledge of the Microsoft Office suite, in particular Word, Excel and outlook;

·       Excellent written and verbal communication skills. Excellent organization and time management skills with the ability to work independently and to deadlines.
