Job Description

The Publications, Conference and Knowledge Management Division is headed by a Director and reports to the Deputy Executive Secretary (Programme Support). It is divided into three main sections: Publications and Conference Management; Information and Communications Technology Services; and Knowledge Management Services.

This post is located in the Knowledge Management Services Section (KMSS) of the Publications, Conference and Knowledge Management Division (PCKMD) of the Economic Commission for Africa. The Library Assistant works under the direct supervision of the Chief, Knowledge Management Services Section and the overall guidance of the Director of the Public Information, Conference & Knowledge Management Division:

Responsibilities

Within delegated authority, the Library Assistant will be responsible for the following duties:

• Assists in the review of and facilitate acquisition of resources that meet the information needs of the Organization and its information clientele.

• Assists in cataloguing operations, in particular, performing copy-cataloguing, descriptive cataloguing and indexing using international bibliographic description standards.

• Assists in the development of Library policies and maintenance of metadata standards-controlled vocabularies and other reference materials.

• Assists in development and maintenance of relevant databases (Repositories, Library Catalogue, UN Official Document System etc.), keeping data accurate and current, and preparing new material as needed.

• Initiates claims, manages serials collection and obtains updated materials, in connection with research requests by library patrons.

• Provides statistical data for assessing usefulness and relevance of posted materials.

• Provides technical support and instruction to library patrons in identifying the appropriate information resources based on their research requests using electronic resources and reference tools.

• Prepares new material for inclusion in appropriate web pages including the design, production and maintenance of the Knowledge Services subsite

• Assists in development and marketing of the knowledge services and resources through promotional materials, liaison services and social media.

• Assists in the development of knowledge products and services including Libguides, bibliographies and materials for knowledge fairs.

• Submits regular backup jobs for library databases on various platforms and performs other routine maintenance procedures that ensure the integrity of library data.

• Provides technical support for library digitization operations.

• Assists in management of library accounts.

• Co-ordinates work and/or participates in training of junior support staff.

• Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

• Assists with visualizations and updating information material such as web pages or brochures.

• Provides administrative support for the section and unit chief and undertakes other duties as assigned.

Job Requirements

Education

  • High school diploma or equivalent is required.

Work Experience

  • A minimum of seven years of progressively responsible experience in library work, archives, information network administration or related field is required. The minimum years of relevant experience is reduced to five for candidates who possess a first-level university degree or higher.

  • Experience with troubleshooting of Integrated library Management System is desirable.

  • Experience with development of Libguides and library marketing materials is desirable.

Languages

  • English and French are the working languages of the UN Secretariat. For the position advertised, fluency in English is required; knowledge of the other is desirable. Knowledge of another UN official language is desirable.
