FHI 360’s Crisis Response team is responding to the humanitarian emergency in Northern Ethiopia, focusing on emergency health, nutrition, protection and WASH activities to support the goal of reducing morbidity and mortality.  

POSITION OVERVIEW  

The Receptionist will be responsible for providing administrative support to the office and ensuring that the front desk is managed efficiently. As the face of our organization, the Receptionist will play a crucial role in creating a positive first impression for our visitors and clients.

KEY RESPONSIBILITIES

The Receptionist will be responsible for managing the office's front desk activities, including answering and directing phone calls, receiving visitors, and managing petty cash. Specifically, the Receptionist's duties will include:

  • Taking telephone messages from the FHI 360 office phone number and directing them to the appropriate person.

  • Providing general information and assistance to callers in reaching the appropriate person.

  • Managing petty cash, which includes maintaining the petty cash book, making disbursements against written orders or authorizations, and reconciling cash balance with records.

  • Receiving visitors, informing the appropriate person, and guiding or directing them to the office of the person they are visiting.

  • Making bookings for international/local travel and hotel reservations.

  • Managing schedules and booking of meeting halls.

  • Performing other duties as assigned by the supervisor.

Supervision Given/Received:

  • General supervision and instructions given for routine work and detailed instructions with periodic work review given for new activities or special assignments.

  • Contacts are typically with individuals within own department and with contacts outside the organization.

  • Contacts involve obtaining or providing information or data requiring some explanation or interpretation.

Job Requirement

Education:

  • High School/GED Diploma or International Equivalent or BA Degree in Secretarial Science, Office Management or a related field

Experience:

  • 3-5 years of related office administration experience.

  • Demonstrated experience with office administrative procedures, standards and equipment.

  • Demonstrated experience with office software applications and spreadsheets.

  • Read, write and speak English; fluent in host country language required.

Typical Physical Demands:

  • Typical office environment.

  • Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard.

  • Ability to sit and stand for extended periods of time.

 Technology to be Used:

  • Personal Computer/Laptop, Microsoft applications (i.e., Office 365, SharePoint, Skype/Zoom/Teams), cell phone/mobile technology, and standard office equipment.

 Travel Requirements:

  • Less than 10%
