Job Description

The Executive Secretary will oversee front desk reception for the CEO's office, handling communication, and secretarial tasks, and ensuring proper filing of all company documents to meet established standards. Additionally, they will serve as the primary representative for the company when dealing with telephone inquiries or office visits, and will also be responsible for coordinating the entire office with the top management.

 Duties And Responsibilities

  • Handles all secretarial activities including the preparation of draft letters;

  • Manages the office of the department/unit professionally and maintains an effective record-keeping system for all correspondences coming in and going out of the department;

  • Arrange conferences and meetings and take minutes of the meetings as directed by the superior;

  • Prepares various letters, memoranda, reports, and other documents and conducts proof-reading to ensure the accuracy of report and submits to the concerned official(s);

  • Files all correspondences in a systematic way to help retrieve the materials needed without any difficulty;

  • Receives messages clearly and forwards the messages to the superior on time;

  • Answers inquiries makes telephone calls, forwards personal and important mails to superior;

  • Maintains logs for all in-coming and out-going mail and ensures that the mail is distributed on time to the appropriate official(s);

  • Receive company guests and organize appointments.

  • Performs other duties assigned by the supervisor.

 Job Requirements

  • Bachelors Degree in Secretarial Science and Office Management with 5 years of Experience

  • Diploma in secretarial science and Office Management with 7 years of relevant Experience

  • Experience in Microfinance sector is highly preferable
