Job Description

Duties & Responsibilities:

  • Receives and documents reports coming to various departments from different organs of the institutions.

  • Assists in writing documents and all memos and dispatches them and duplicate in required number of copies as required.

  • Attend to visitors and telephone calls.

  • Assists in maintenance of personnel records and files under strict confidentiality of the company employees.

  • Assists Executive Secretary in updating the records of all employee files of the institution  and  perform  other  secretary  service  which  is  given  by  the  Human resource manager.

  • Assists executive secretary in relieving the Chief Executive Officer from routines by attending to staff issues both from head office and from Branches.

  • Receive and open incoming letters and or messages, and dispatch the documents to head office staffs and to branches as deemed necessary.

  • Check, receive, keep and maintain stationery and other mini materials at the head office

  • Keep official records and documents of head office.

  • Provide staff & guests’ refreshment (Tea, Coffee…).

  • Undertake any other similar duties as assigned by his/her supervisor.

Job Requirements:

  • Bachelor’s Degree in Secretarial Science, IT, Business Management, marketing or related fields

  • Diploma/Level IV in IT or related fields  

Experience:

  • 5 relevant years’ Experience at the same position for BA degree

  • 7 years of relevant experience for Diploma at the same position

  • Experience in Microfinance Industry is highly preferrable
