Doctors with Africa CUAMM is an international NGOs, based in Italy, established in 1950 with the aim of supporting developing countries in their effort to build sustainable and accessible health systems. The organization’s mission is to reduce the needless loss of lives in development and emergency contexts caused by lack of effective health care, and to contribute to improve health outcomes among the most vulnerable group of the population.

CUAMM has started its mission in Ethiopia since 1980 and Currently is operating in Oromia, SNNP, Amhara, Gambella, Tigray and Somali Region as well as Addis Ababa town Administration.

CUAMM is looking for expert professional with a minimum 5 years’ experience in coordinating Administration and Finance teams willing to work in Gambella or Wolisso as Area Admin.

Main Responsibility

The Area Admin will have to coordinate the Finance, HR, Procurement and Logistic Team providing support to the whole CUAMM operation of the Area based on the active projects.

Maintains administration management controls by following internal policies, procedures and complying with state financial legal requirements as well as donor/organization guidelines.

The position requires a tight collaboration with the Area Manager who is the direct Line Manager and with the Coordination Office in Addis Ababa represented by the Country Admin who is the second Line Manager.

Important job demand is the capacity to plan and follow through the plan implementation, making adjustments, rallies when necessary, in order to meet deadlines and achieve results.

The role of the Area Admin is central on capacity building of all personnel by providing support to Admin and non-admin staff regarding admin procedures.

Finally, the Area Admin, together with the Area Manager, have to develop and maintain a pleasant and conducive work environment with all colleagues and line managers.

Duties & Responsibilities:

·       Planning project’s budgets implementation using the organizational tools: Operational Plan, Procurement Plan, HR Policy and SOPs.

·       Daily briefing the Area Manager and regularly the Coordination Office on Administration activities, constraints and solutions

·       Constantly updates projects’ Operational Plans –OP in collaboration with Area Manager and or Project Managers.

·       Actively participates in each Project’ monitoring call reporting on admin sector related activities and presenting the plan for the subsequent month.

·       Secures the Administration tasks implementation throughout the month.

·       Runs the monthly accounting check for all active projects in the area using the Organization tools, following the donors’ guidelines and securing that the needed corrections are made.

·       Secure and support the timely accounting posting both in Lotus and in Peachtree system.

·       Ensure the settlement of monthly government obligation by the 15th of each month.

·       Secure monthly bank, cash & JV reconciliations by the 10th of each subsequent month, check an approve them

·       Supervise petty cash management and do weekly cash counts.

·       Verify the scan of all relevant projects’ documents and expenditures justifications and that they are uploaded Drive every month before 20th of every month.

·       Check the update of staff folders (employment contract, documents, leave request forms) and files (annual leave, attendance sheet, overtime sheets) etc.

·       Control fuel consumption update in Drive and make sure that log-sheet of vehicles, motorbikes and office generator are correctly field and kept.

·       Prepare procurement supporting documents and keep track of orders, purchases and deliveries

·       Assist the country administrator and Finance manager in anything it is needed

·       Support the coordination office in Preparing all needed financial documents for audit process.

·       May be asked to perform duties and tasks not covered in this job description as well as to provide support to other departments when necessary.

Job Requirements

·       Degree in Accounting and Finance or other related field

·       A minimum of 5 years’ relevant experience with humanitarian aid organization (INGO)

·       Good accounting skills, experience in Peachtree accounting system is an asset

·       Experience in working with AICS-Italian Cooperation financed projects

·       Excellent computer skills: Ms Windows, Ms Word and Excel

·       Excellent communication skill in English – Spoken and written

·       Italian language communication is an asset
