Job Description

Hope Enterprise University College (HEUC) is a higher education institution in Ethiopia, which is housed on five hectares of a beautiful, green and clean campus conductive for teaching-learning process and having student and faculty friendly environment. It is an accredited institution in three graduate programs namely, MBA, MSC in Accounting & Finance and MA in Organizational Leadership. It is also accredited in the following undergraduate programs: Architecture, Accounting and Finance, Management, Marketing Management and Computer Science.  Currently the university college is trying to strengthen its operation by the way of recruiting the right candidate who is befitting for the position of Executive Secretary accordingly, any interested professional who can meet the following criteria can apply for the position.

Duties and Responsibilities:  

Main Purpose:

Performa administrative and secretarial duties and assist in details of university college faculty deans. 

Tasks and responsibility 

  • Perform administrative and secretarial duties of the president’s and Vice presidents ’office of the HEUC with wide latitude for excising discretion and judgement. 

  • Prepares letters, apportion or all of which may be composed or compiled on the basis of personal knowledge of the subject matter. 

  • Directs mails, faxes and other messages to other staff members for their action of instructed or in accordance with precedent. 

  • Arranges for and schedule appointments for the executive. 

  • Differentiates cases that are handled by the executive and other bodies of HEUC and refers them to their respective offices. 

  • Prepare material, collects in campus data, performs some analysis of it if needed and makes arrangements for meetings as required. 

  • Studies reports received checks and compares with previous reports or other data, and brings to the attention of the executive significant items, changes, errors or omissions. 

  • Maintains for the executive up to date management manuals, governmental guidelines and policies, directives, organizational charts and keeps the executive informed of changes. 

  • Sets up and maintains office files and keeps correspondence and reports available for reference and efficient operation of the office. 

  • Takes and transcribes dictation, types and maintains office records.

  • Answers telephone calls and faxes and replies to questions in accordance with general instructions or refers calls or faxes to appropriate staff members. 

  • Pursue the achievement and integration of equal opportunities throughout the HUC’s activities 

  • Tasks other assignments given to him/her by immediate supervisor.

Job Requirements

Qualification

  • At least a B.A. degree in Secretarial Science, Information System, Management or related fields from a recognized HEI.
