As a Project Manager, you will be responsible for overseeing and managing the implementation of various projects and programmes internationally, with a particular focus on the Sudan project team currently based in Addis Ababa, Ethiopia. Your role will encompass a wide range of tasks, and you will be involved in both in-person and online activities, preparation and follow-up, creation, and development of programme materials etc.
Your primary responsibilities will include but are not limited to:
Provide direct support to the organisation’s Country Director. Provide logistical, administrative and secretarial support to the Country Director, including calendar management, arranging and booking local and international travel, following up on invoices and representing the organisation at meetings.
Undertake and facilitate payment of suppliers and project expenses as instructed and according to required paperwork. Support in overseeing the financial aspects of the projects, including budget allocation, expense tracking, and financial reporting to funders as requested. Ensure financial resources are managed efficiently and transparently and ensure receipts for all expenditures are submitted to London in a timely manner. Lead the preparation and submission of timely and accurate monthly financial reports and invoices to be submitted within communicated deadlines. Coordinating between staff members, vendors and contractors to ensure financial deadlines are met. Ensure the organisation’s invoices are paid on time according to the terms in the contracts with funders.
Manage the implementation, monitoring and evaluation of project activities. Oversee the planning, coordination, and execution of project activities according to the defined work plan. Update and maintain the overall work plan, ensuring all tasks sand timelines are up to date. Regularly monitor the progress of project activities to ensure they align with the established work plan. Conduct evaluations to assess the effectiveness and impact of the projects.
o Coordinate data collection and analysis for monitoring and evaluation. Work with the M&E Officer to coordinate the collection and analysis of data to evaluate the effectiveness of project activities. Use data insights to make informed decisions and improve future project initiatives.
o Maintain records on event activities, progress, status, and post-event summary. Keep detailed records of event activities, progress made, and overall status. Prepare post-event summaries to capture key learnings and outcomes for future reference.
Prepare regular programmatic reports and maintain crucial project documents. Support the Country Director to prepare programmatic reports that track project progress and outcomes. Contribute to the project reporting requirements of funders by providing regular activity updates, inputs for quarterly reports, narrative reports and monthly work plan, meeting predetermined deadlines. Maintain accurate and up-todate project documents including meeting minutes, ensuring easy accessibility for relevant stakeholders.
Identify opportunities for growth and extension of the organisation’s work. Contribute to identifying new opportunities for expanding our work, including potential partnerships with other organizations and funders. Stay updated with the latest developments and trends in the field to explore innovative approaches.
As a Project Manager, your dedication, strong organizational skills, and ability to work collaboratively with diverse teams will be instrumental in the successful implementation and growth of projects and programmes internationally.
Duration: The duration of services will align with projects assigned to the PM, and their expiry dates.
Hours of work: Full-time, totalling 37.5 hours per week. Exact working days should be agreed with the Country Director.
Job Requirements
Essential skills, experience, and competencies:
BA degree in relevant field.
5+ years of experience working on projects in the development or humanitarian sectors.
Practical experience of preparing high-quality reports and budgets for international institutional donors.
Good communication skills, including fluency in English.
Self-motivated
Computer literate
