Job Description
The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:
Front office duties including dealing with visitors to the Embassy, phone and email enquiries;
Assisting with the organisation of events, which can range from large-scale meetings, to in-house lunches or high-level visits and meeting with partners;
Receving visa application documentation and registering details in Embassy visa application tracking system.
Contact database updating and maintenance;
Assist sorting, classifying and recording files and data
Contributing as part of the wider Embassy team to administration and other work as required.
In addition to the above, the Receptioist may be required to carry out other functions subject to the business needs of the Embassy, including periodic out of hours and weekend cover for the Embassy’s consular duty service.
Candidates must have a degree, preferably in disciplines such as: First Degree in Social Science with a focus on Secretarial Science and Office Management or Business Managment
A minimum of 5 years relevant work experience with INGO, donor agencies or similar environment. The candidate must demonstrate using work based examples of providing excellent interpersonal skills, being persuasive, working in a team but also dealing effectively with people in external organisations;
The candidate must provide evidence of flexibility, efficiency and effectiveness showing strong organizational skills, attention to detail, able to work under pressure and to manage multiple tasks;
The candidate should provide examples of being solutions-oriented, and committed to delivering results, including by adapting approach if necessary;The candidate must be fully bilingual in English and Amharic (language test may be included as part of the shortlisting process);
The candidate must demonstrate using examples, their working knowledge of Microsoft Office Suite (Outlook, Word, Excel);
All applicants must have a permanent legal right to reside and work in Ethiopia.
Desirable Skills and Experience:
A good understanding of the role of the Department of Foreign Affairs and the Embassy;
The successful applicant will work alongside other local employees of the Embassy, and will report directly to the Head of Administration in the Mission.
Previous experience in a diplomatic mission is desirable, but not essential.
Terms and conditions of employment:
Start date: February/March 2024
Location: Embassy of Ireland, Addis Ababa
Contdract duration: The successful candidate will be hired on a 3 year contract with probation period of 60 days
Working hours: Monday to Thursday, with standard office hours from 8:00am – 5:00pm, Friday from 8:00am – 2:00pm with total working hours not exceeding 48 hours per week as per local labour law
Annual Leave Entitlement: Annual leave allowance is 20 working days per year
Gross Salary: € 729.15 per month paid in local currency. Salaries are paid didrect to a bank account, therefore, the successful candidate must have a bank account
Eligibility: Candidates must have a permanent, legal right to reside and work in Ethiopia and will be subject to employment and taxation law in Ethiopia.

Selection Process:
Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential/Key Requirements above.
It is planned that interviews will be held in February 2024
A technical assessment will be included in the recruitment process;
A second interview may be included in the recruitment process; and
A panel may be set up depending on the calibre of candidates;

Security Clearance for Local Staff
Police security clearance will be sought in respect of individuals who come under consideration for appointment.
