Job Description

The Executive Secretary at Ashewa Technology Solutions S.C. plays a crucial role in providing high-level office management and documentation support to the company's top management members. Reporting directly to the Chief Executive Officer (CEO), the Executive Secretary ensures smooth coordination and efficient communication within the organization. They are responsible for managing executive calendars, organizing meetings, preparing reports, handling confidential information, and carrying out various administrative tasks. The ideal candidate for this position should possess exceptional organizational skills, strong attention to detail, and excellent interpersonal abilities.

Duties and Responsibilities:

  • Provide comprehensive administrative support to the CEO and other top management members, ensuring their schedules are well-managed and optimized.

  • Manage executive calendars, schedule appointments, and maintain an organized system for tracking key dates and deadlines.

  • Plan, prepare agendas, and coordinate meetings, conferences, and other business events, ensuring all necessary arrangements are in place.

  • Attend meetings, take minutes, and distribute them to relevant participants.

  • Prepare and distribute internal and external communications, including memos, letters, emails, reports, and presentations, on behalf of the CEO.

  • Maintain a high level of confidentiality and discretion when handling sensitive information and company documents.

  • Organize and maintain document management systems, ensuring proper filing, storage, retrieval, and disposal of records.

  • Conduct research, gather data, and compile reports as required by the CEO or other top management members.

  • Manage travel arrangements, including booking flights, accommodations, and transportation for the CEO and other executives as needed.

  • Interact professionally with clients, stakeholders, and other external parties, representing the CEO and the company in a professional and courteous manner.

  • Collaborate with department heads and team members to facilitate effective communication and cross-functional coordination.

  • Assist in the coordination of special projects, events, and initiatives as assigned by the CEO.

Job Requirments

Qualifications and Skills:

  • Bachelor's degree in Business Administration or a related field is preferred.

  • Proven experience as an Executive Secretary or similar administrative role supporting senior executives.

  • Excellent organization and time management skills with the ability to prioritize tasks and meet deadlines.

  • Strong written and verbal communication skills, with a high level of attention to detail.

  • Proficient in using standard office software (MS Office Suite) and the ability to quickly learn new software and tools.

  • Strong interpersonal skills, with the ability to build relationships with individuals at all levels of the organization.

  • Exceptional discretion and ability to handle confidential information with utmost professionalism.

  • Ability to work independently and as part of a team, demonstrating a proactive and flexible approach to work responsibilities.

  • Knowledge of office management systems and procedures.

  • Fluency in English and Amharic is required, and knowledge of other local or international languages is an asset.

  • Previous experience in the technology industry or software development sector is desirable, but not mandatory.
