People in Need is a non-governmental, non-profit organization founded on the ideals of humanity, freedom, equality and solidarity.

People in Need was established in 1992 by a group of Czech war correspondents, journalists and activists and has grown to become one of the largest non-profit organization in Central and Eastern Europe.

Throughout our 30 years of existence, People in Need continues to engage in humanitarian aid, development cooperation, education and social inclusion.

We have been operating in Ethiopia since 2003, working in five regions; Oromia, South Ethiopia Region, Central Ethiopia Region, Sidama and Tigray in different multi sectoral projects in the areas of development and emergency response.

People in Need, from the very start of its operations in Ethiopia, has focused on projects in five main areas of interest: Education, Agriculture, Climate and Environment, Water and Social protection.

PIN currently is seeking energetic, disciplined, responsible Logistic Unit Coordinator

Length of Contract: indefinite

The Logistics Unit Coordinator (LC) manages the operations of the Country Programme (CP) and offices, compounds and guesthouses. The LC works closely with the Head of Systems and Operations (HoSO) and Country Director (CD) in order to set up an efficient and safe working environment for all staff members. S/he provides leadership to the logistics staff in specific technical areas, manages and delegates tasks to his/her team, and oversees recruitment and training of logistics staff. In order to deliver results, s/he operates within the logistics budget.

Duties & Responsibilities

Programme Support

  • Reviews programme staff needs and offers operational solutions

  • Plans the use of material resources (premises, vehicles, equipment) to the needs of programme staff

Human Resources & Capacity Development

  • Manages the logistics team in Hawassa, Addis Ababa, and field office locations

  • Oversees the recruitment of logistics staff members

  • Supports the logistics team and provides necessary information and documentation

  • Organizes regular meetings with logistics team to delegate tasks and share updates

  • Trains and supervises the logistics team in adherence to PIN logistics guidelines

  • Evaluates logistics staff performance and addresses needs for improvement and structural changes in the team

Logistics

  • Implements and reinforces the adoption of PIN logistics rules, procedures and documentation in the CP 

  • Oversees the management of warehouses and proper stocking of materials

  • Oversees material distribution from warehouses and transport to implementation areas

  • Oversees effective transport planning and utilisation of project vehicles

  • Ensure efficient and cost-effective transport of staff and goods

  • Monitors the operational and maintenance costs of vehicles, as well as fuel consumption

  • Manages lease and rent contracts of premises and assets, lead contract negotiations

  • Oversees office and compound/guesthouse management with all related services

  • Oversees the proper management of IT equipment and infrastructure in offices

  • Assumes final responsibility for equipment, installations and infrastructures and its maintenance

  • Supports market assessments for premises, accommodation, and transport

  • Take a proactive role in innovative solutions leading to improved operation

  • Coordinates operations in field locations. Acts as focal point for all field office logisticians

  • Supervises drivers, guards, and all other operational support staff

  • Oversees and implements security and safety SOPs related to movements and premises

  • Ensures proper incident response, reporting, and post-incident action and follow-up of logistics staff

Administration

  • Monitors the operational spending and implements improvements to ensure cost-effectiveness

  • Produces regular reports as required by HoSO

  • Creates and oversees logistics budgets for office, warehouse, compound/guesthouse, fleet and transport management

  • Oversees government compliance, including registration, authorizations, visas, licenses, and certifications; establishes relationships with relevant authorities.

Other: other assignments corresponding to actual needs of the project, program or mission up on the request of line manager/CMT member 

General obligations and responsibilities

The Employee is obligated not to purvey any information concerning any of PIN activities to outsiders (including former PIN employees, who may no more be informed about current process in PIN).

PIN is a relief and development organization whose aim is to help and assist needy people. The Employee’s position within the institution requires contacts with outside; he or she therefore conveys a certain image of the PIN. PIN expects its Employees to behave in appropriate manners at all times and in all places. All members of staff should ensure their attitudes correspond to PIN principles, both during and after working hours.

The Employee takes over the responsibility for all entrusted material or cash. The Employee is obligated to cover all damages or losses caused by his carelessness. The Agreement of Liability of Assets has been signed separately.

Job Requirements

  • BSC Degree on Logistics Operations, Public/Nonprofit/Business Administration, Management and other relevant fields of studies

  • Five years of experience in a similar position; Experience managing facilities, stock, and fleet, ideally for an international NGO;

  • Experience managing a team; ability to coordinate and communicate clearly with different groups of people;

  • Experience managing a budget;

  • Strong training and coaching skills;

  • Communicative level of English

  • Ability to work independently and effectively;

  • Ability to deal with complex compliance agenda;
