Lutheran World Federation (LWF) in Ethiopia  

LWF World Service Ethiopia is a registered foreign charity, which has been operating in Ethiopia since 1973 implementing various development and humanitarian projects in different parts of Ethiopia.  LWF World Service Ethiopia works closely with the Ethiopian Evangelical Church Mekane Yesus (EECMY), the Ethiopian Government, UN organizations and other funding partners. Its thematic areas include the promotion of food security and sustainable livelihood, sustainable natural resources management, emergency preparedness, response and rehabilitation, and capacity building.

Job Purpose 

Under the supervision of the Representative, the Executive Support Intern performs a variety of executive support that may be highly confidential and sensitive. 

Duties and Responsibilities of the Position Holder

Key Responsibilities

Reception & Hospitality

  • Welcome and direct all guests to the persons concerned;

  • Reads and screens incoming correspondences and reports; makes a preliminary assessment of the importance of received documents, handles some matters personally and forwards appropriate materials to the Resident Representative.

Administrative

  • Coordinates activities for the Resident Representative;

  • Prepares agenda and collects materials for meetings, speeches, and conferences and keeps records of proceedings as required;

  • Coordinates and facilitates the Resident Representative’s calendar to arrange appointments and meetings;

  • Responsible for preparing, typing, printing, copying, compiling and dispatching documents;

  • Ensure that the Office of the Representative is neat and in good order at all times.

  • Assist Program & Finance staff in peak seasons when scanning, copying, mailing and making logistical arrangements are required.

Liaison

  • As liaison between the Resident Representative and other unit staff, transmit directives, instructions and assignments and follow up and report on the status of assignments/instructions;

  • Updates the Resident Representative on the status of issues before scheduled meetings;

Documentation/Archiving

  • Maintains impeccable filing system for correspondences and other records (physical and digital on SharePoint

  • Establishes and maintains filing and records management systems;

  • Ensures that records are managed in the country program according to established policies and procedures;

  • Compiles and maintains important documents of the organization;

  • Locate and extract information and materials from the file.

Travel

  • Handle hotel reservations for travelers to and from the organization and handle all air travel reservation and plane ticket matters for business travels;

  • Ensure that all visitors to LWF have arrived safely in their hotels and that there have not been any travel hick-ups while under our auspices until they depart safely from Ethiopia;

  • Ensure the settlement of these accounts in close collaboration with the Finance Unit;

  • Ensure that every visitor receives the security manual, LWF guide, Updated project Visitors’ briefs (projects), and latest security briefing matrix and LWF Emergency Contact Numbers by email prior to arrival in close consultation with the relevant unit. Always refer to the LWF Visitors Checklist.

  • Perform any other duties as assigned to him/her by the project coordinator or his designate.

Job Requirements

Qualification

  • B.A. Degree/Bachelor in business administration, public administration, management, secretarial science, office management, or any other related fields.

  • Candidates for this post are only graduates of a recognized college or university in year 2022 or 2023 with a B.A. degree or bachelor's
