Job Description

Three Roots International /TRI/ is registered as a Foreign Non-Profit Organization by the Federal Democratic Republic of Ethiopia with Authority for Civil Society Organizations (ACSO), under Registration No. 4931. The mission of TRI is to cultivate community development and economic capacity by empowering families through education, health, and income generating activities. Through our integrated focus on these three dimensions of life, we strengthen families for flourishing futures. Currently, TRI operates its program in Oromia Regional State in East Showa Zone in Bishoftu City Administration in Gandgorba Kebele.  TRI invites you, the qualified candidate, to apply for the following position. Job Summary:

The Project Manager is responsible for the day-to-day operations of the project.  He/she is expected to meet and exceed the organization's performance and delivery goals. He/she ensures that all TRI projects are designed, implemented and completed on time and within the designated budget. She/he will oversee the project/s activities to ensure the project objectives meet the desired outcomes are achieved. She/he manages the field-based TRI staff to work effectively, and to ensure that resources are used in the most efficient way. She/he is responsible for project design, implementation, and review.

Duties and Responsibilities:

The success of this role is measured by key result areas which are listed below:

  • Leading the TRI project office staff in designing and implementing programming in collaboration with government and civil society partners;

  • Ensuring sound project design and logic; as well as data management of program data;

  • Advancing all levels of stakeholder relationships that further TRI’s work in the Oromia region.

  • Practicing responsive programming, and adjusting activities to achieve project impact;

  • Building and maintaining internal collaboration and communication among project staff for healthy office culture.

  • Research and implementation best practices for transformational and sustainable development in rural contexts

Specific Roles & Responsibilities  

  • Manage project development, formulation and coordinate the design, planning, implementation, monitoring program, manage data and reporting;

  • Identify key performance indicators as well as develop and maintain a monitoring and evaluation system to ensure effective information sharing, provision of feedback and elaboration of top quality progress reports.

  • Ensure and coordinate the timely submission of financial and activity reports covering the assigned component of the project, to be incorporated in the overall project financial and narrative report.

  • Contribute to the wide dissemination and visibility of project achievements, and support mechanisms for exchange of information, experience and lessons learned at the local levels.

  • Identify and manage risks so that maximum benefit to beneficiaries and stakeholders is achieved.

  • Identify and report potential business opportunities & threats to the supervisor.

  • Develop strategic partnerships and effective coordination among relevant project actors like local governments, and non-governmental organizations or other relevant partners.

  • Manage and leverage relationships with partners to greater collective impact;

  • Provide support and knowledge-transfer for partners and agencies;

  • Develop and manage partner agreements in the project implementation region/location;

  • Develop and manage information gathering and data collection networks;

  • Research current trends and changes in the areas of implementation;

  • Ensure project activities are completed within the specified timeframe meeting deadlines;

  • Work closely with TRI staff to ensure the activities are dealt with according to the action plan;

  • Frequently travel to field sites and provide supportive supervisors to staff and partners;

  • Ensure standards and requirements are met through conducting quality assurance tests;

  • Organize distribution of goods to the field sites, and ensure a safe arrival of supplies;

  • Liaise with clients to define requirements and scope to meet organizational needs;

  • Lead in organizing workshops and trainings based on specific needs of beneficiaries and plan;

  • Organize, attend, and participate in stakeholders’ meetings and other relevant meetings;

  • Analyze potential project risks and opportunities and devise appropriate risk mitigation measures and opportunities cultivation plan;

  • Create and maintain project documents and generate progress/completion report for activities;

  • Document best practices, provide recommendation for work plans, and annual reviews;

  • Be responsible for overseeing the development and execution of project deliverables;

  • Be responsible for preparation and submission of activity reports, meeting minutes and financial reports on regular basis to TRI county office;

  • Oversee the submission of annual activity-based project budgets as well as monthly and quarterly financial reports and submitting new funding requests;

  • Will be the main contact point for the field staff, lead and motivate the team, and coordinate work with consultants and volunteers;

  • Ensure close collaboration and cooperation with key partners to ensure smooth implementation of activities and achievement of results as planned;

  • Troubleshoot project problems, and identify and implement creative solutions;

  • Provide timely and accurate reports to all concerned parties;

  • Supervise, coach, train and evaluate performance of staff under her/his supervision;

  • Provide feedback to Practice Leads on policy, supporting guidance with an aim towards continuous improvement of Three Roots policies.

  • Ensure that behavioral expectations of team members are established;

  • Ensure safety and security for all field staff and comply with Three Roots standards;

  • Adapts flexibly to changing situations, overcomes obstacles and recovers quickly from set-backs

  • Perform other duties as required.

Job Requirements

Required Qualification, Experience & Skills:

Education:

  • Have at least University Degree in Development Studies, Project Management, Economics or other related disciplines. Additional training and certification in project management would be an advantage.

Experience:

  • Has at least 10 years of relevant project design, coordination and management experience is required at the national or international level in the areas of community development.

  • Previous experience in development assistance or related work for a donor organization, governmental institutions, NGO or private sector / consulting firm is a very strong advantage.

  • Has excellent MS Office application skills including MS-Word, MS-Excel, MS-Access, MS-Power point, etc.

  • Has excellent experience in the usage of computers and office software packages (MS- Word, MS- Excel, MS-Access, MS-Power points etc) and advanced knowledge of spreadsheet and database packages, experience in handling web based management systems.

  • Proficiency in English and Amharic languages; knowledge of local languages is desirable

  • Proven ability for team building, management and motivation experience and to foster team spirit synergy.

  • Demonstrated ability to manage staff locally and from distance;

  • Extensive experience in managing a multidisciplinary team

  • Proven coordination and time management skills

  • Proven communication and negotiation skills
