Job Description
The Leprosy Mission (TLM) is a leading international Christian Organization with over 149 years of experience, active in over 30 countries, working towards the vision of “Leprosy Defeated, Lives Transformed.” We are active in projects reducing transmission of leprosy, stigma and discrimination. We are currently recruiting for a Finance and Admin Coordinator role for the country office.
Job Purpose:
The Finance and Admin Coordinator will provide overall financial management, system implementation and oversight to ensure full compliance with regulations, policies, and procedures of The Leprosy Mission International Ethiopia. The successful candidate will also be responsible for guaranteeing effective internal controls in order to safeguard financial processes of the organization, and provide real-time support and analysis.
Duties and Responsibilities
Strategic
Lead in the review and maintenance of all TLMI-E’s finance policies, manual and guidelines. Together with Country Representative, ensure that these follow TLM’s Global Standards.
Develop systems of financial management control between Country Office, projects and partner organizations.
Monitor national policies ensuring that all relevant changes are reflected in TLMI-E’s finance and admin systems.
Together with Country Representative regularly review and maintain the financial risk register.
Together with Country Representative and Project Managers, prepare new proposal budgets when needed.
Finance Management
Responsible for supervising all TLMI-E’s project accounts and Country office accounts
Forecasting, budgeting & monitoring of project expenditures:
Together with Country Representative and Project Managers, regularly review existing project budgets to ensure that they are managed within funding allocations.
Monitor actual expenditure versus budgets.
Financial Reporting and Auditing:
Ensure the integrity of financial reports and records – which must be in accordance with TLM Global financial procedures.
Ensure that the quarterly and other annual and periodic financial reports are forwarded to management, government departments and donors within the stipulated deadlines.
Ensure all financial reports are checked for accuracy before they are submitted to the government departments and donors
Prepare documents for the Annual Country Office Audit
Prepare documents for the Annual External Audit
Fluent and frequent financial related communication with all partners at all level specifically with supporting countries finance team and Finance Head of IO
Banking & Financial Operations:
Ensure that any property contracts, leases and other agreements are properly prepared, updated and compliant with legal obligations.
Ensure financial compliance with all statutory and local authorities, and any other regulalatory bodies.
Carrying out frequent data back-ups.
Prepare an analysis of the cashbook, management report, comparison with budget and commentary at the end of each quarter.
Partner Finance Management
Ensure the disbursement of project funds to partners as per request of the project partners.
To visit partner offices to check and verify accounts when necessary.
Build the capacity of partners in their financial management as required.
Networking and Self-Development
Provide external interface with banks, auditors, government offices and institutional donors, suppliers and IRC.
Negotiate and establish partnerships with commercial providers as required.
Be current with the TLM Global Fellowship platform, National policies and global development scene.
Participate actively in TLM Global Fellowship Finance meetings, with various TLM Members (donors or TLMI), when held or as required by Country Leader and Finance Manager. These include online meetings, which may require working outside of office hours.

Qualifications and Experience
Bachelor's Degree or advanced professional qualification in Finance and Accounting.
At least 5 years working experience in Finance field (general).
Experience working for NGOs with in depth knowledge of rules, regulations, policies and procedures.
Experience and expertise in the use of financial system software, preferably QuickBooks.
Computer literacy and proficiency in Microsoft Office software including Word, Excel, Outlook and PowerPoint. Proficiency in use of Excel for reporting is key.
