Duties and Responsibilities:

Administrative Support:

  •   Provide administrative assistance to the Head of Procurement, including managing calendars, scheduling meetings, and handling correspondence.

Document Management:

  •   Assist in maintaining organized procurement documents, including contracts, purchase orders, and vendor agreements.

  • Ensure proper filing and easy retrieval of information.

Meeting Coordination:

  • Coordinate and schedule internal and external meetings for the procurement team.

  • Prepare meeting agendas and take meeting minutes when necessary.

Communication Liaison:

  • Act as a point of contact for internal and external inquiries.

  •   Communicate with vendors, suppliers, and other departments on behalf of the Head of Procurement.

Travel Coordination:

  • Assist in coordinating travel arrangements for procurement team members.

  • Handle logistics and accommodations for business trips.

Budget Tracking:

  • Assist in tracking and monitoring the procurement budget.

  • Collaborate with finance for budget reconciliation.

Vendor Relationship Management:

  • Support the Head of Procurement in managing relationships with vendors and suppliers.

  • Assist in communication, conflict resolution, and performance evaluation.

Event Planning:

  • Assist in organizing procurement-related events, such as vendor conferences or training sessions.

  • Coordinate logistics and handle event-related tasks.

Report Generation:

  •   Assist in preparing regular reports on procurement activities, cost savings, and vendor performance.

  • Compile data and information for reporting purposes.

Continuous Learning:

  • Stay informed about industry trends and best practices in procurement.

  • Participate in training sessions to enhance skills and knowledge.

Required Number: 4(Four)

Job Requirements

Education:

  • High school diploma or equivalent.

  • Additional certifications or coursework in business administration or procurement are a plus.

Experience:

  •  Previous experience in an administrative role, preferably in a procurement or supply chain environment.

Organizational Skills:

  • Exceptional organizational skills with attention to detail.

  • Ability to manage multiple tasks and prioritize effectively.

Communication Skills:

  • Strong written and verbal communication skills.

  • Ability to communicate effectively with internal and external stakeholders.

Technology Proficiency:

  • Proficient in using office software such as Microsoft Office Suite.

  • Familiarity with procurement software and tools is advantageous.

Team Collaboration:

  • Ability to work collaboratively with the procurement team and other departments.

  • Foster positive working relationships with colleagues and vendors.

Problem-Solving:

  • Effective problem-solving skills to address routine issues and escalate when necessary.

  • Proactive approach to identifying potential challenges.

Confidentiality:

  • Handle sensitive procurement-related information with discretion.

  • Adhere to confidentiality and data protection policies.
