Job Description

PURPOSE OF THIS ROLE

The role holder will be responsible for:

  • To ensure efficient operations of all user facilities within the company and provide general logistics support to the staff.

KEY ACCOUNTABILITIES 

Operational Delivery

  • Ensure the Facilities Management plan aligns with MultiChoice Ethiopia policies and procedures.

  • Supervise facilities and company assets, ensuring that environmental health and safety, and quality programs are in alignment

  • Facilitate the maintenance and optimal functioning of all inside facilities.

  • Execute, and monitor all facilities-related activities.

  • Implements cost-saving strategies

  • Manage Facilities’ service providers and ensure that services are delivered in line with the contract / SLA. 

  • Ensure that all physical facilities are always in good working order (i.e. office equipment, utilities, office premises, etc.).

  • Schedules periodic inspections and tests of equipment to prevent malfunctions and service interruptions.

  • Ensure that the janitors keep the office environment clean at all times. (Including toilets, offices and external environment.)

  • Responsible for the general security of the company. Liaises with a security company on all issues bordering on the company’s security.

  • Monitors maintenance-related contracts with suppliers and third-party service providers.

§  Maintain records of training venues, rental agreements, insurance policies, and related documentation.

§  Manage logistical aspects of training venues, such as room setup, catering arrangements, and coordination of necessary equipment.

§  Ensure that all facilities have valid rental agreements and licenses in place.

§  Ensure seamless functionality of utilities, including electricity, water, maintenance, and a reliable backup generator, to meet the facility's needs. Additionally, manage the timely settlement of utility bills.

§  Proactively monitor the expiration dates of rental agreements and insurance policies to ensure timely renewals. Collaborate with the finance department to initiate payments for renewals and coordinate periodic payments as required.

Safety and Risk Management

  • Monitor and review all damage claims.

  • Implement plans or programs to improve the safety of operations to prevent the occurrence or reoccurrence of similar claims.

  • Implement all policies and procedures to ensure compliance with all safety laws.

  •  Resolve customer complaints or answer customers' questions regarding policies and procedures.

People Management

  • Responsible for team strength & performance level

  • Ensure direct reports live Company ethics;

  • Departmental goals understood and actively pursued by the team; work accountability clearly delegated

  • Performance reviews are done regularly, everyone has a clear picture of current performance, recognition is given where it is due, and low performers are acted upon.

Job Requirements

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s Degree in Business Management, Engineering or a related field of study

  • A minimum of 5 years’ experience in Admin / Facilities

  • Extensive knowledge of occupational health and safety rules and regulations.

  • High level proficiency in the use of mechanical and electrical equipment
