Job Description
Dar Al-Handasah Consultants (Shair and Partners) is a privately-owned international multidisciplinary consulting organization in engineering, architecture, planning ,environment, project and construction management, facilities management and economics, founded in 1956, its principal design head office and technical support facilities are located in Beirut, Lebanon; Cairo, Egypt; London, UK; Pune, India; and Amman, Jordan; with a network of 47 permanent local branch offices throughout the Middle East, Africa Asia and Europe of which 23 are on the African continent.
Travel related tasks
Arrange Travel, such as accommodation, Itineraries, visas.
Assist with travel issues (recommend alternative solutions for any issue related with travel
Process Travel Documents Protocol
Process and facilitate Visa`s residency and work permits to expat staff as well as to their dependents in coordination with Admin staff.
Advice travelers on visa requirements. Prepare and raise required documentation to the relevant authority to obtain entry/exit visas and travel permits for DAR personnel and visitors.
Administrative and documentation
Drafting of correspondence and internal procedural directives relating to administrative matters
Keep the record of all the correspondences in both hard and soft copies
Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring that everyone is kept current of necessary company information
Organizing staff training sessions and activities (if requires
Procurement and logistics
Ensuring office supplies are maintained, including checking inventory and working with vendors to always ensure adequate levels of necessary supplies.
Create and maintain good relationships with vendors/suppliers
Maintain records of purchases, pricing, and other important data
Review and analyze all vendors/suppliers, supply, and price options
Negotiate the best deal for pricing and supply contracts
Ensure that the products and supplies are high quality
Maintain and update a list of suppliers and their qualifications, delivery times, and potential future development
Handle procurement of vehicle hire for field office as well as for expat personal use
HR Matters
Prepare contract for local employees as per the request of the authorized person
Maintain employee records both local and expat staff as per the organization Policy
Ensure all the employees follow the company procedure and comply with the company policy
Education
Master's or Bachelor's Degree in Business Management or other related fields
Work experience
5 -10 years’ experience.
Computer skill
Proficient in Microsoft Office
Language
Proficient in English and Amharic
