Job Description
Positive Action for Development (PAD) is an indigenous, non-governmental, non-profit making, secular, and legally registered Ethiopian Civil Society Organization on June 6/2011 with a registration number 2330. The organization was established with a vision to see a community of hope, where poverty has been overcome and people live in dignity and security. The organization has a mission to save lives, promote hope, defeat poverty, and achieve social justice through integrated and sustainable development approaches. It is working in Emergency/lifesaving and Development thematic areas.
We are seeking a highly motivated and organized individual to join our team as an Administrative Assistant in Positive Action for Development (PAD). The successful candidate will play a crucial role in supporting the senior management in managing the daily operations and administrative tasks of the organization.
Specific responsibilities include the following:
Support the Senior management in managing daily operations and administrative tasks of the organization.
Assist in coordinating and overseeing various programs and projects.
Manage communication with stakeholders, partners, and donors.
Plan and organize meetings, conferences, and events.
Conduct research and prepare reports for the Senior management.
Handle correspondence, emails, and inquiries on behalf of the senior management.
Assist in developing and implementing organizational policies and procedures.
Collaborate with other staff members to ensure the smooth functioning of the organization.
Monitor budgets and financial activities in coordination with the finance department.
Provide support in fundraising activities and donor relations.
Represent the organization at meetings, conferences, and events when required.
Ensure compliance with legal and regulatory requirements.
Support the Senior management in strategic planning and decision-making processes.
Perform any other duties as assigned by the Senior management to ensure the efficient operation of the NGO.
Qualification: BA Degree and above in Office Technology, Office Management and Technology Science, Business Administration, Management, language, Information Technology, or a related field
Experience: A maximum of two years experience in administrative roles or senior management support positions
Skills Required, Attitudes, and Attributes:
Relevant certifications in office administration, senior leaders’ assistance, or related areas can be beneficial.
Additional courses or training in communication, organization, time management, and technology skills are advantageous.
Proven experience in a similar role within the NGO sector.
Strong organizational and time-management skills.
Excellent communication and interpersonal abilities.
Proficiency in MS Office suite and other relevant software.
Ability to work effectively in a fast-paced environment.
Fluency in written and spoken English
